The District Office is looking for an Administrative Assistant to support the Teaching and Learning department and the Transportation department.
 
Summary
Under the direction of the Director of Teaching and Learning, this position is responsible for providing secretarial, bookkeeping, and other administrative support to the Teaching & Learning Office. Additionally, this position acts as the main district liaison with Durham, the contracted company which provides busing services for the District. The person serving in this position will have the opportunity to work with multiple departments and buildings in order to support students and teachers.

Work Schedule: 8:00am-4:30pm Monday-Friday, 255 day contract.
Responsibilities/Essential Functions:

Financial Management

  • Keeps updated financial/budget records of district-wide accounts associated with the Teaching & Learning department.
  • Processes POs for the Teaching & Learning department, including Directors, Coordinators, teachers in the student services programs, and the Associate Superintendent.
  • Enters data and types mandated district, state, and federal reports for funding reporting.
  • Provides support for the Perkins consortium, including submitting POs, tracking spending, and assisting in the quarterly claims for reimbursement.

Secretarial Support

  • Provides assistance to the Teaching & Learning team in gathering needed resources for building programs.
  • Processes new curricular materials, including receiving materials, barcoding materials, and distributing materials to buildings. 
  • Prepares the necessary documents and makes preparation for facilities for meetings, staff development/workshops.
  • Arranges travel and accommodations for teachers and administrators as it relates to attendance at professional learning opportunities outside of Ames CSD.
  • Organizes and disseminates district program documents.
  • Works and communicates with other personnel, students, parents, and the public.
  • Maintains office filing system.
  • Orders, distributes and maintains an inventory of office supplies.
  • Assists with the registration process.
  • Greets and accommodates visitors, handles incoming calls, and takes messages as appropriate.

Transportation Support

  • Creates a sense of belonging and welcoming environment for all families. 
  • Acts as Liaison between Durham, parents of ACSD students, and our building staff.
  • Maintains communication with Parents as to their students bus schedule
  • Maintains most updated status regarding bus route changes due to new students and new requests.
  • Provides strong customer service for parents, including problem-solving bus stop concerns, new requests for busing services, etc.
  • Provides strong customer service for Durham, including organization requests, creative problem-solving, and communication to parents.
  • Creates billing statements per semester for transportation for 2500 students.
  • Arranges transportation for homeless/displaced students.


Qualifications:
  • High school graduate or equivalent. Post high school education in related field, or the equivalent in experience preferred.
The successful candidate will exhibit:
  • Knowledge and ability to work effectively and collaboratively with multicultural/ethnic students, staff and community populations.
  • Knowledge of general budgeting practices.
  • Knowledge of general office procedures and equipment (i.e. personal computer, calculator, other office equipment).
  • Knowledge of office practices and procedures to include recordkeeping, filing, and reporting methods including Google Docs, email, spreadsheets, etc.
  • Ability to handle confidential work with tact and discretion.
  • Ability to interact with other staff, students, and the public to obtain and provide information.
  • Ability to communicate effectively orally and in writing.
  • Ability to interpret and follow oral and written instructions.
  • High standards of ethical conduct and exhibits honesty and integrity.
  • Committment to quality service.
  • High level of initiative, effort, and commitment towards completing assignments efficiently. Works with minimal supervision.
  • Consistent and punctual work attendance.
  • Bilingual abilities in Spanish preferred.
Compensation: $20.39 per hour
