    The Facilities Department is seeking an Administrative Assistant to the Facilities Department for the 2022-23 school year.
    MISSION STATEMENT
    The mission of the Ames Community School District is to ensure that all learners develop the knowledge, skills, attitudes, values, and personal esteem necessary to grow in and shape a changing society.Summary
    Under the direction of the Director of Facilities Planning & Management, and/or Facilities Department Manager, the Administrative Assistant provides clerical, confidential secretarial support to the Facilities Planning & Department and the Director.
    Work Schedule: 7:00am-4:00pm, 255 day contract.
    Responsibilities/Essential Functions:
    • Receives telephone calls and greets all visitors.
    • Composes routine and complex documents.
    • Attends and takes minutes at meetings as assigned.
    • Assists in maintaining the daily, weekly and monthly calendars of the Director of Facilities.
    • Maintains the calendar of school district events for the purpose of coordinating and scheduling district activities and community use of facilities.
    • Maintains the application system, coordinates with the HR department, and assists with the onboarding process of new employees for the department.
    • Maintains staff information, records, and files as directed.
    • Receives and sorts mail.
    • Maintains department website.
    • Processes all equipment and accident insurance claims.
    • Processes all purchase orders and invoices for the department.
    • Prepares, processes, and maintains records for keys and keycards for the District.
    • Maintains diesel fuel system and coordinates fuel deliveries for Facilities and Bus Fleet.
    • Maintains cost report for swimming pool operational cost.
    • Assists with coordination and operation of the door access control system.
    • Coordinates furniture liquidation process.
    • Creates a sense of belonging and a welcoming environment to all staff and visitors.
    • Attends work on a consistent and punctual basis.
    • Performs related duties as assigned.
    Qualifications:
    • High school graduate or equivalent. Post high school education in related field, or the equivalent in experience preferred.
    • Prefer a minimum of two years of experience as an executive secretary.
    • Ability to pass a background check required.
    The successful candidate will exhibit:
    • Knowledge of general office procedures and equipment.
    • Knowledge of office practices and procedures to include recordkeeping, filing, and reporting methods.
    • Knowledge of grammar, spelling and punctuation.
    • Ability to handle confidential work with tact and discretion.
    • Ability to interact with other staff, students, and the public to obtain and provide information.
    • Ability to communicate effectively orally and in writing.
    • Ability to interpret and follow oral and written instructions.
    • Ability to keep records and maintain alpha, numeric, and subject matter files.
    • Skill in the operation and minor adjustment and maintenance of office machines as job assignments require (i.e. personal computer, calculator, other office equipment).
    • High standards of ethical conduct and exhibits honesty and integrity.
    • Commitment to quality service. Works and communicates with internal and external constituents in a polite, courteous, and cooperative manner.
    • High level of initiative, effort, and commitment towards completing assignments efficiently. Works with minimal supervision.
    • Responsible behavior and attention to detail.

    Compensation: $20.00 an hour.
