Alpha Mail Inc is Hiring a Remote Virtual Assistant (Remote)

Alpha Mail is looking for an experienced Virtual Assistant to join our growing team. Our agency offers scale-up solutions for post-funding tech startups. Our clients include hedge funds, software companies, and blockchain organizations. 

We are looking for a versatile and highly-organized virtual assistant to perform personalized administrative duties for senior management. In this role, you will be responsible for scheduling meetings, taking notes, creating reports, organizational tasks, arranging travel and accommodation, and handling correspondence on behalf of managers. You may also be required to assist with other duties when required.

To ensure success as a virtual assistant, you should exhibit excellent organizational skills, have a detailed understanding of the full Google Apps suite, be extremely fast at solving problems, have experience as an executive or administration assistant, and be accustomed to working US business hours. An accomplished personal assistant will be intuitive to the needs of managers and work autonomously to provide support.

Personal Assistant Responsibilities:

  • Reporting to senior management and performing administrative duties.
  • Managing internal and external correspondence on behalf of senior management.
  • Scheduling appointments, maintaining a calendar, and sending reminders.
  • Helping prepare for meetings.
  • Accurately recording minutes from meetings.
  • Making travel arrangements for executives.
  • Typing, formatting, and editing reports, documents, and presentations using Google Apps.
  • Organizing, categorizing, and sharing documents.
  • Coordinating and facilitating team member onboarding
  • Structuring and maintaining team training material
  • Researching and collecting data for review and presentation by executives.
  • Handling basic bookkeeping tasks.
  • Preparing financial statements, reports, memos, invoices letters, and other documents.
  • Filing and retrieving company records, documents, and reports.
  • Observing best business practices and etiquette.

Required Skills & Experience:

  • High school diploma or GED.
  • Certification(s) in administrative work, assistant work, or related training.
  • 2 years Personal or Executive Assistant experience
  • 1 years team training experience
  • 1 years of HR/Recruiting experience
  • 1 years Appointment Setter experience
  • Extensive experience in creating documents and spreadsheets
  • Advanced knowledge in Google Workspace tools (Gmail, Drive, Sheets, Docs, Calendar, Admin Panel, etc)
  • Proficiency in appointment scheduling
  • Advanced typing, note-taking, recordkeeping, and organizational skills.
  • Ability to manage internal and external correspondence.
  • Ability to organize a daily workload by priorities.
  • Must be able to meet deadlines in a fast-paced quickly changing environment.
  • A proactive approach to problem-solving with strong decision-making skills.
  • Professional level verbal and written communications skills. (English)
  • Able to work EST

  • Has knowledge in Crypto or Hedge funds is a PLUS!
