We are seeking a highly organized and detail-oriented Executive Assistant to support our Thornton advisory team. The ideal candidate will have excellent communication skills, strong problem-solving abilities, and the ability to handle multiple tasks simultaneously. As an Executive Assistant, you will play a crucial role in ensuring the smooth operation of our North Office.
Job Description:
· First and Foremost, MUST be a team player.
· This is NOT a Remote Position. Must be available to work in our Thornton office.
· Virtually supporting advisors in our other locations as needed
· Assisting in answering reception call queues and handle basic requests.
· Assist Financial Advisors with their Daily tasks, preparing appointment folders, Client follow ups, ect.
· Managing Advisor Calendars, scheduling/rescheduling prospect/client meetings
· Supporting the processing department in obtaining required documents.
· Cross training in other departments to serve as support.
· Processing applications
· Tracking Transfers for contra firms
· Draft correspondences (LOI’s) and other formal documents i.e (transfer forms)
· Greet and assist onsite guests.
· Develop and implement organized filing systems.
· Review client paperwork
· Using APA, Charles Schwab Institutional platforms, Fidelity Wealthscape, and other IAR platforms.
Qualifications:
· Securities License preferred, but not required.
· Strong computer-literacy with proficiency and working knowledge of database and reporting tools such as Microsoft Word, Excel, Access, and PowerPoint.
· Previous experience in Financial/ Insurance office administration or other related fields
· Ability to prioritize and multitask.
· Time management
· Experience using Calendly, managing calendar availability, etc.
· Excellent written and verbal communication skills
· Strong attention to detail
· Strong organizational skills
· Must have experience in processing Insurance and/or Securities business.
· A college degree is nice, but not required.
