POSITION SUMMARY

The husband-and-wife owners of a successful, private, construction services company in Southern NJ are looking for a Personal Executive Assistant to provide one-on-one support with administrative and personal tasks. The ideal candidate will be a proactive problem solver with exceptional communication and organizational skills and meticulous attention to detail. This person should have experience performing and managing household tasks, personal and professional duties, project management and house management. To be successful in this position, you must be tech-savvy and have experience with Microsoft Office, including Word, Excel, PowerPoint, and Outlook. You must be a good listener with strong time-management skills and an ability to prioritize tasks. You must have a valid driver's license and working vehicle. 

RESPONSIBILITIES AND ACCOUNTABILITY

  • House management tasks to include grocery shopping, meal prep, tidying, laundry, home organization.
  • Schedule appointments and coordinate calendars (business, personal, household).
  • Set up meetings, attend them and take notes.
  • Research and create itineraries for business travel and family vacations, as well as make reservations.
  • Organize speaking engagements, company events, sponsored golf outings.
  • Receipt organizing, scanning, filing, light bookkeeping.
  • Make restaurant reservations and other appointments as needed.
  • Hire and supervise household staff such as landscaping and cleaning companies.
  • Buy gifts, send holiday cards.
  • Research, hire, and supervise vendors and contractors for home projects, as needed.
  • Ensure the routine maintenance of homes, commercial properties, and vehicles.
  • Keep the principal updated on progress of projects.
  • Assist with coordination of property management and philanthropic interests. 
  • Pet care.
  • Light childcare for seven- and nine-year-old to consist of driving to/from activities/appointments, homework help, coordinating longer term childcare needs as applicable.
  • Errands to include dry cleaning drop/pick up, returns, post office/FedEx/UPS drop off, etc.
  • Office help with bookkeeping, receipt organization, scanning and filing. 

REQUIRED KNOWLEDGE, SKILLS, ABILITIES (KSA)

  • You must be a good listener with strong time-management skills, attention to details and an ability to proactively prioritize tasks.
  • You must also have a valid driver's license and working vehicle.
  • Must love dogs.
  • 3 years of experience working in a similar role.
  • Excellent communication, problem-solving, and organizational skills.
  • Proficiency in the use of Microsoft Office, including Word, Excel, PowerPoint, and Outlook.
  • Strong ability to prioritize and execute tasks and conform to shifting priorities and timelines.
  • Self-motivated team player with the ability to work independently in a fast-paced environment.
  • Ability to be flexible and work with ambiguity.
  • Must be a team player.
  • Eligible to work in the Unites States.

PHYSICAL DEMANDS/WORK ENVIRONMENT

  • While performing the duties of this job, the employee is required to sit for long periods of time, look at a computer monitor for extended periods, use of hands and fingers, and reach with their hands and arms or feel objects, climb stairs and ladders; balance; stop, kneel, crouch, or crawl; talk or hear; taste or smell. 
  • Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus. 
  • Employees in this role are required to speak clearly so listeners can understand and hear clearly to understand the speech of another person.
