Office Manager/Bookkeeper
We are seeking a highly organized and detail-oriented Office Manager/ Bookkeeper to join our team. You will be responsible for overseeing the day-to-day operations of our office, maintaining accurate financial records, and performing various accounting and administrative tasks. This is a key role that requires strong organizational skills and the ability to multitask effectively. This is a full-time position.
Responsibilities:
· Maintain accurate records and files, both electronic and physical
· Answer phone calls and emails and provide exceptional customer service
· Manage and maintain office supplies, vehicles, inventory and place orders as needed
· Pay bills, run errands and arrange necessary repairs
· Coordinate and schedule meetings, appointments, and travel arrangements
· Perform bank reconciliations to ensure accuracy of financial transactions
· Process accounts payable and accounts receivable transactions
· Support the annual and quarterly insurance audit, quarterly taxes and yearly tax return process by providing financial statements, supporting documentation and explanations as needed
· Develop and manage office budgets to ensure financial efficiency
· Handle payroll processing and ensure accurate payments
· Manage human resources functions such as hiring and employee onboarding
· Provide administrative support to employees as needed
· Handle vendor management, maintaining relationships and request waivers.
· Collaborate with project team members to ensure effective communication and coordination
· Assist in the preparation of project documentation to included but not limited to contracts, proposals, change orders, invoices, submittals and warranty letters.
· Prepare and provide billing (pay applications) to customers
· Input timesheets in Quickbooks and process subcontractors payments
· Support owner/project manager with documentation requested to bill and collect payment from customers
· Provide support to estimator to include downloading, printing and retrieving construction and engineering plans.
· Conduct research and gather data to support project decision-making
Experience:
· Proven experience as an Office Manager or in a similar administrative role
· Proficient in Microsoft Office Suite (Word, Excel, Outlook) and Quickbooks
· Knowledge of payroll processing procedures
· Experience as a Bookkeeper or in a similar role
· Ability to analyze financial data and identify discrepancies
· Familiarity with human resources processes and best practices
· Excellent time management skills, strong attention to detail and problem-solving abilities
This is a full-time position with compensation based on experience. We offer paid time off and provide an expense card, company cell phone, yearly personal vehicle maintenance and gas card.
