Performs a wide range of administrative and office support activities for the department and/or managers and supervisors to facilitate the efficient operation of the organization. Salaried position working M-F, 7:30 a.m.- 4:30 pm.
Essential Duties and Responsibilities
· Answers, screens, and transfers inbound phone calls.
· Answers main door entry, receives and directs visitors and clients.
· Orders, maintains, and distributes office supplies, copier/printer supplies, and shipping supplies.
· Coordinates maintenance of office equipment.
· Prepares letters and documents as needed for staff.
· Processes daily mail: retrieve, sort & deliver to recipients.
· Ships items and documents via UPS/FedEx/USPS.
· Maintains postage machine and post mail daily.
· Organizes company benevolence program and assists with employee recognition events.
· Orders new baby sympathy, and/or condolence gifts for employees and customers.
· Manages employee travel, including booking, negotiation and maintaining contracts and billing arrangements for lodging and transportation (hotels, rental cars, airlines).
· Assists with immunization clinics and blood drives.
· Orders and manages company apparel stock and replenishment.
· Manages company cell phones, contracts, cell phone internal and external billing.
· Orders and replenishes snacks.
· Assists with planning and coordination of meetings and catering.
· Other duties as assigned.
Qualifications
Must be able to perform each essential duty satisfactorily. Must have a pleasant attitude with a focus on customer service at all times. Organization and attention to detail are critical for specific tasks and also for general office functionality. The requirements listed below are representative of the knowledge, skill, and/or ability required.
· Computer skills and knowledge of relevant software ( Microsoft Office: Word, Excel, Outlook)
· Knowledge of operation of standard office equipment (e.g. printer, copier, postage machine).
· Knowledge of clerical and administrative procedures and systems.
· Strong analytical, verbal, and written communication skills.
· Must have ability to remain focused amid constant interruptions.
· Excellent customer service.
· Ensure deadlines are met and adapts to changing priorities.
· Presents a positive and professional image for the organization.
Language Ability
· Adequate conversational English is required in order to take direction from management, understand how to complete job tasks, communicate adequately with co-workers and customers, understand and follow safety guidelines, and understand the Alliant Technologies Employee Handbook and all company policies. Must be able to interpret written warnings as posted in all work areas in both the Alliant Technologies office or at any work site where Alliant Technologies performs work.
Experience
· Minimum 3 years previous administrative experience required.
