Overview:
We are looking for a detail-oriented and organized Administrative Assistant to join our team. The ideal candidate will provide essential support to our staff, ensuring smooth day-to-day operations and contributing to the overall efficiency of our organization. This role requires excellent communication skills, strong multitasking abilities, and a proactive attitude.

Responsibilities:

  • General Administrative Support:
  • Answer and direct phone calls.
  • Manage and maintain the office calendar.
  • Schedule appointments and meetings.
  • Handle incoming and outgoing mail and packages.
  • Maintain office supplies and order new supplies as needed.
  • Data Entry and Management:
  • Input and update data in various software systems.
  • Maintain accurate and organized filing systems, both electronic and physical.
  • Marketing:
  • Manage our social media presence
  • Post weekly to engage with prospects and clients
  • Make an Outreach to collaborate with other professionals via emails and calls
  • Communication:
  • Draft, proofread, and edit documents, emails, and reports.
  • Communicate effectively with internal staff and external partners
  • Reach out to local professionals for collaboration such as co-hosting an event
  • Meeting Coordination:
  • Prepare meeting agendas and materials.
  • Record and distribute meeting minutes.
  • Customer Service:
  • Greet visitors and provide assistance as needed.
  • Address and resolve basic client inquiries and issues.

Experience:

  • Education:
  • Associate's or Bachelor's degree in a related field (preferred).
  • Professional Experience:
  • Proven experience as an administrative assistant, office assistant, or in a related role.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Skills:
  • Excellent verbal and written communication skills.
  • Strong organizational and time-management skills.
  • Ability to multitask and prioritize tasks effectively.
  • Detail-oriented and capable of maintaining accuracy in data entry and record-keeping.
  • Strong interpersonal skills and the ability to work well with a team.
  • Ability to handle confidential information with discretion.
