AAA Northeast Travel is seeking a multi-talented Executive Assistant to work alongside our sales, marketing, product and operations leadership. Coordinate activities, events, and meetings. Manage and process expenses, business line budgets, department invoices, payroll and purchasing. Provide administrative support in development of presentations as well as overall communications, meeting transcription, planning, supply inventory, scheduling, travel plans, meetings and sourcing speakers and materials for events.
Provides administrative support by communicating and/or coordinating management instructions with various individuals and/or departments. Frequently communicates on sensitive issues exercising judgement and discretion. Maintains executive and/or departmental calendar: schedules and confirms appointments, arranges for meeting rooms or facilities, makes and confirms travel plans. Administers departmental budget process, including processing invoices, preparing and submitting expense reports on behalf of the executive, assist with annual budget process, and/or manages departmental payroll process. Screens visitors, phone calls, emails, or physical mail. Maintains confidentiality of sensitive information. Collects and interprets data to prepare reports. Mentors other administrative staff and may provide oversight. Manages supply inventory for executive and/or department. Prepares agendas or presentations, attends meetings with executive, and takes, transcribes, and distributes notes or minutes.
