Responsibilities

We are looking for a highly motivated and energetic Creative Project Manager whose main objective will be to scope, manage and coordinate the plan and execution of design and development projects for eCommerce. The PM provides on-time production executional support across all disciplines such as keeping projects on task, on budget, and on brand. They will solve problems and build relationships with all internal teams to ensure project deliverables and deadlines are clearly communicated and executed. They will ensure agency success by keeping projects in line with the scope of work. While the main R&Rs for this role lie within internal territories, this person should be comfortable with and experienced in client-facing roles as they will act as hybrid Account / Project Managers for smaller, executionally-focused projects.

Day-to-day requirements

  • Lead and/or support the development of detailed project Statements of Work, estimates and timelines, partnering with Account Management and other department Leads
  • Refinement and creation of modular templates for MSA / SOW
  • Build and optimize client onboarding processes that simplify and streamline the onboarding process
  • Effectively communicate project expectations and progress to team members, and executive team in a timely and clear manner during discovery
  • Juggle multiple projects simultaneously and seamlessly without error
  • Develop and maintain project trackers and timelines with complete accuracy
  • Demonstrate initiative and resourcefulness to meet project milestones, internal team needs, and client expectations
  • Ensure scope of work and SOW are aligned with delivery
  • Construct clear, concise, and error-free written and verbal communications that provide the details required for project stakeholders
  • Assist with SOW creation and the relating documents (Scope, Staff Plan, Workflows)
  • Create Project Timelines depending on project size to clearly identify all steps leading up to major project milestones and final deadline(s)
  • Book all required resources and/or submit requests for additional resource needs
  • Create and distribute Kick Off documents as required
  • Schedule all internal meetings and take meeting notes
  • Pull burn reports and track usage of hours against the afforded hours and percent completion, as applicable
  • Monitor team progress and needs closely to keep the project on track and on schedule. Adjust project timings / deliverables as appropriate. Supply Change orders if applicable
  • Traffic projects and route creative and mechanicals for internal approvals
  • Escalate issues / concerns relating to the project to the PM/account leads
  • Prepare Estimates and/or POs; track finances, as applicable
  • Support the PM team with administrative tasks
  • Ensure changing resource and project requirements are communicated to all members of the project team
  • Vendor procurement and management
  • Adhere to agency process and financial policies; identify ways to improve processes
  • Drive the development of clear, actionable project plans in collaboration with project stakeholders and leads
  • Understand key project artifacts, dependencies and documentation, and coordinates plans to ensure their timely and accurate delivery
  • Communicate proactively vs. reactively in order to maximize problem-solving options
  • Motivate, organize, and challenge teams to produce great work
  • Potential to be involved in deeper new business conversations/pitches 

Required Experience

  • 3 to 5 years of experience in project management, in addition 2-3 years of experience in eCommerce
  • Strong working knowledge of practical aspects of project management
  • Ability to balance project management process with rapid delivery of benefit to the client
  • Experience with maintaining all project artifacts including project schedules and budgets
  • Strong customer focus, analytical and quantitative skills
  • Strong interpersonal, written and oral communication skills
  • Problem solving skills
  • Demonstrated ability to balance, prioritize and organize multiple tasks
  • Demonstrated ability to work collaboratively in teams and across organizations
  • Demonstrated ability to synthesize feedback and adjust plans accordingly
  • Demonstrated ability to build strong relationships inside and outside the organization
  • Demonstrated ability to be flexible in assignments and work alongside customers from varying backgrounds
