Office & Team Assistant at Beach House Group Headquarters in El Segundo, CA

Beach House Group, an awesome new company with giving at its core, is looking for a passionate, organized and detail-oriented Office & Team Assistant to join their fun, hard-working, results-driven, creative, and collaborative team! Reporting into the Executive Assistant the Office & Team Assistant will be responsible for:

OFFICE & TEAM MANAGEMENT:

  • Ensure the smooth running of the office day in and day out
  • Be the face of our brand to everyone who visits – manage visitor logs, parking, security passes, greet and take care of guests as though they are family
  • Ensure high levels of communication with the team and effectively address employee queries regarding office management issues, technology concerns and scheduling needs
  • Organize office operations and procedures
  • Support staff with all in-office activities; including but not limited to photoshoots, team meetings, catering, parking passes (team and visitors), etc.
  • Coordinate billing processes
  • Answer incoming calls, messages and or emails and direct inquiries to the appropriate team
  • Handle company scheduling, including but not limited to room booking, AV equipment, team & executive calendaring (internal & external – in office & virtual)
  • Assist with executive team scheduling and calendaring needs
  • Handle all incoming and outgoing mail, packages and shipments daily
  • Assist with developing and reporting out on office budget
  • Partner with HR to create, update and maintain office policies, including new hire onboarding with respect to office procedures.
  • Maintain office security; be the point of contact for all office entry, maintain office entry system, key fobs, emergency contacts etc.
  • Upkeep all information regarding office passwords and contacts
  • Order supplies and office equipment; ensure orders are correct and within budget
  • Handle level 1 troubleshooting of equipment and escalation to IT and equipment providers to ensure speedy resolution
  • Manage and liaise with vendors for utilities, office repairs, maintenance etc., and proactively manage the cleaning/housekeeping team
  • Facilitate construction and office upgrades
  • Assist price negotiations with office vendors and service providers
  • Arrange office events and assist with outside events as requested
  • Ability to lift/move a minimum of 25lbs
  • Work with sublease owners and landlord on any and all office needs
  • Available for possible on-call situations
  • Manage potential renters in the space through a rental site (peer space) ensuring proper vetting, collections and management while on site
  • Assist with other team and office projects, as needed

EXPERIENCE

  • 3 years' experience in reception, office and / or facilities management position
  • 4-year Bachelor's degree required
  • Experience with office software and proficient at dealing with IT/equipment vendors and suppliers
  • Some background in a busy start-up environment is needed
  • Experience in consumer products or retail a plus

  • Ability to organize, prioritize, multi-task and work in a fast-paced environment
  • Excellent written and verbal communication skills, attention to detail plus strong technology skills
  • Good sense of confidentiality, sensitive issues, protective of our people and ideas

Salary Range: $31.25 - $33.65 Hourly ~ ($65,000 - $70,000 annually)
