Duties

The Events Coordinator will work within a dynamic, dedicated team of events and communication professionals to execute policy briefings, keynote addresses, interviews, social engagements, and other events for the Wilson Center with diplomacy, tact, and discretion.

Position is a career-ladder position. If selected at the Grade 8, incumbent will receive training and guidance in preparation for more independence and autonomy at the full performance level of Grade 9.

  • Support Director of Events by independently managing event logistics, recognizing needs to make adjustments when necessary
  • Manage the Center’s event booking calendar system, suggesting and implementing solutions to address conflicting needs and priority planning
  • Serve as lead project manager for a portfolio of events to ensure all benchmarks and deliverables are being met and reassessed
  • Provide advice and guidance on the development, scheduling, coordination, and administration of all Wilson Center event programming
  • Assist in creating and implementing new event policies that reflect the modernization of event strategies at the Wilson Center based on experience with successful events
  • Provide experienced guidance and direction on ways for programs to have successful, high-level events
  • Manage the lifecycle of Wilson Center events. This includes insuring that Event policies and procedures are followed, all necessary documents are created and shared timely with relevant AV team. Ensures post-event review is completed and coverage is posted accurately
  • Manage communication between various departments throughout planning process including making recommendations to improve communication process as needed to ensure event projects are moving through appropriate steps
  • Maintain and review regular tracking of event-specific metrics with the VP of External Relations
  • Work independently with program teams to brainstorm new, relevant audiences for targeted events and how best to reach them
  • Negotiate bids for catering/event space in accordance with financial policy guidelines and directives

Qualifications

MINIMUM QUALIFICATIONS: To be considered minimally qualified for this position, you must demonstrate that you meet the required specialized experience, or education as described, for the respective grade level in which you are applying:

Specialized Experience: Applicants must have at least one full-time year (12-months) of specialized experience at, or equivalent to, the Grade 7 level (relative to federal and market standards) performing the following duties and responsibilities:

  • Support Director of Events with event logistics
  • Manage the Center’s event booking calendar system, working to address conflicting needs and priority planning
  • Serve as project manager for a portfolio of events to ensure all benchmarks and deliverables are being met
  • Lead the development, scheduling, coordination, and administration of all Wilson Center event programming
  • Recommend new event methods and procedures that reflect the modernization of event strategies at the Wilson Center
  • Provide suggestions and advice on ways for programs to have successful events
  • Track the lifecycle of Wilson Center events. This includes but is not limited to making sure that invitations are consistent, webpages and titles are accurate, run of show documents created and shared with AV team ahead of event, guest lists are organized, post-event coverage is posted in a timely fashion
  • Coordinate communication between various departments throughout planning process as needed to ensure event projects are moving through appropriate steps
  • Maintain regular tracking of event-specific metrics
  • Work with Director of Events and program teams to brainstorm new, relevant audiences for targeted events and how best to reach them
  • Obtain bids for catering/event space and follow financial policy guidelines.

To qualify for this position at the Grade 9, applicants must meet the following:

Specialized Experience: Applicants must have at least one full-time year (12-months) of specialized experience at, or equivalent to, the Grade 8 level (relative to federal and market standards) performing the following duties and responsibilities:

  • Manage the lifecycle of organization events. This includes insuring that event policies and procedures are followed, all necessary documents are created and shared timely with relevant event team
  • Ensures post-event review is completed and coverage is posted accurately
  • Serve as lead project manager for a portfolio of events to ensure all benchmarks and deliverables are being met and reassessed
  • Knowledge and application of event principles and appropriate industry Event Coordinator concepts to be incorporated into Wilson Center events
  • Manage communication between various departments throughout planning process including making recommendations to improve communication process as needed to ensure event projects are moving through appropriate steps
  • Maintain and review regular tracking of event-specific metrics
  • Work independently with program teams to brainstorm new, relevant audiences for targeted events and how best to reach them
  • Negotiate bids for catering/event space in accordance with financial policy guidelines and directives

Education: master's or equivalent graduate degree or 2 full years of progressively higher level graduate education leading to such a degree
or LL.B. or J.D., if related
