Location: Washington, DC
Responsible for the end-to-end planning, coordination, and execution of NAVSEA events, including ceremonies, award presentations, retirements, and other official functions. This includes venue selection, logistics management, invitations, program scheduling, and ensuring compliance with Navy standards and protocols. Be the point of person to coordinate meetings and events
Lead overall schedule including clients meetings and correspondences
Run online conference room scheduling system to ensure proper meeting placement
Host, check in vendors and ensure the logistics of the each event.
Prepare event space, assist with vendor space access, and ensure the safety and insurance requirements are met.
Ensures catering options/menus are presented timely; Coordinate delivery and assist with set up of food & beverages; clean up afterward.
Works closely with AV/Meeting & Events technician team to ensure set up and needs have been met.
Education and Experience:
Comprehensive Knowledge of Navy Protocol and Etiquette: The Events Coordinator must possess an in-depth understanding of Navy protocol and etiquette, including the proper conduct, ceremonial procedures, and hierarchy observance at official events. This knowledge is crucial for planning and executing events that honor the Navy's traditions and values.
5 years of Event Planning and Execution Experience
Experience with Vendor and Stakeholder Coordination: Must adeptly coordinate with vendors, external partners, and stakeholders to secure services and materials that comply with Navy requirements and standards. This includes negotiating contracts, ensuring quality control, and managing relationships with a broad range of service providers and dignitaries.
Experience with Budget and Resource Management: Efficiently manage budgets and resources allocated for events, ensuring cost-effectiveness while maintaining the high standards expected of Navy events. This includes meticulous planning to optimize resource use and achieve the best possible outcomes within budgetary constraints.
Experience with Crisis Management and Flexibility: Capable of handling unexpected situations and making last-minute adjustments to event plans. This requires a calm demeanor, quick thinking, and the ability to resolve issues swiftly without compromising the event's integrity or Navy standards.
Expert Collaboration and Communication: Work closely with NAVSEA leadership, communication teams, and other departments to ensure events align with strategic objectives and messaging. Effective communication skills are essential for coordinating with multiple teams and ensuring all participants are informed and prepared.
