Description
Perfect Water, a residential and commercial water treatment business based in Schenectady, New York is looking for an experienced Administrative Assistant/Customer Relations Specialist to join our growing team. A minimum of 5 years of Administrative Assistant experience is required along with 5 years of Customer Service as this person will be the first line of contact with our customers. The successful candidate must have a strong background in providing support to the team and have an interest in learning water treatment services, processes and product lines.
Requirements
•Maintain a good relationship and a high level of professionalism with customers, vendor, partners, and office team.
•Answer phone calls, respond to emails and schedule accordingly using our office Outlook Calendar.
•Contact leads via phone/email to gather information on quotes, products, services, installations and water analysis testing.
•Assign tasks to our team members and updates for customers using our office CRM system (Highrise). Updating before and after calls, including tracking and adding leads for sales.
•Answer and return all incoming customer calls (including purchase of parts and accessories and questions and general customer concerns)
•Contact customers via phone/email to schedule annual maintenance appointments, system installations, and service calls for technicians.
•Order supplies including but not limited to filters, water test kits, marketing materials, sales information kits, re-order items from vendors when needed.
•Enter warranties in CRM system
•Scan/upload and appropriately file all customer paperwork in files and databases.
•Handle shipping/receiving in our warehouse
•Ensure proper documentation and information is received and recorded pursuant to Perfect Water & Home Depot Policies and Procedures.
•Convey water test kit results to customers and provide information to sales for follow up
•Work with our teams to stay up to date on product knowledge
•Duties and responsibilities may be modified and adjusted at management's discretion.
•Well-developed computer skills including the ability to use Microsoft Office, Word and Excel
•Willingness to work well with others
•Have excellent organizational, planning, communication skills (written and verbal)
•Strong attention to detail with a high level of accuracy
•Excellent judgement and decision-making abilities
