Job Summary:
We are seeking a highly organized and detail-oriented Executive Assistant to support our executive team. The ideal candidate will provide administrative assistance, manage schedules, and handle various tasks to ensure the smooth operation of the office.
Responsibilities:
- Coordinate executive communications, including taking calls, responding to emails, and interfacing with clients.
- Manage executive calendars and schedule appointments, meetings, and travel arrangements.
- Prepare reports, presentations, and correspondence for meetings.
- Assist in personal tasks for executives as needed.
- Maintain office organization and efficiency by handling various administrative tasks.
- Serve as the primary point of contact for internal and external stakeholders on matters pertaining to the executive team.
Skills:
- Proficiency in Google Suite for document creation and collaboration.
- Experience with QuickBooks for financial record keeping.
- Familiarity with Outlook Calendar for scheduling purposes.
- Strong background in providing personal assistant support.
- Excellent administrative skills with a focus on organization and time management.
- Customer service orientation with the ability to interact professionally with all levels of staff.
- Front desk management experience is a plus.
- Computer literacy with the ability to transcribe accurately.
Education/experience requirements:
Minimum Qualifications: High school diploma or graduation equivalent diploma (GED)
Five (5) years of clerical experience, three (3) of which must have included organization, coordination, and performance of duties at a responsible level.
One year of administrative office support services to a manager at an executive level.
Preferred Qualifications:Clerical and supervisory/administrative experience beyond minimum required.
