DESCRIPTION
The Financial Accountant performs various finance duties including general accounting, accounts payable, and financial analysis. Additionally, the position is responsible for certain financial aid and billing processes. The ideal candidate is a person who is naturally inquisitive and possesses the ability to grasp and comprehend processes and procedures. He/she should be able to prepare, analyze, and interpret budgetary data and financial reports as part of compiling the annual operating budget.
This role reports directly to the CFO while working closely with the NCS administration team and other department heads. This position will have a balanced understanding of the Business Office in order to facilitate, promote, and support its functional relationships with other NCS departments.
Essential Duties and Responsibilities:
General Accounting –
  • Manage the general ledger, including, but not limited to, maintenance of the assignment grouping of accounts and/or subaccounts, and preparation of financial schedules, reports, analysis, and other associated tasks.
  • Monitor and analyze automated financial transactions posted to the accounting system.
  • Distribute monthly reports on actuals to budget owners.
  • Prepare and post journal entries into the accounting system based on appropriate support and documentation.
  • Reconcile account balances, and complete month-end close procedures.
  • Ensuring base financial records are correct and accessible in the accounting system and financial management reports are available in a timely manner.
  • Ensure that monetary deposits and cash receipts are appropriately assigned and recorded into the accounting system in a timely manner.
  • Compile financial statements based on general ledger financial data and activities.
  • Assist in development of the operating budget from various financial data, records, & reports.
  • Coordinate gathering supporting documentation and information requests for year-end audit.
  • Review efficiency of general accounting procedures and make recommendations for process improvements.
  • Ensure policy changes are incorporated in the accounting process according to guidelines.
Accounts Payable (AP) –
  • Complete data entry to ensure all AP transactions, invoices, and check requests are recorded accurately and timely in compliance with school policies, applicable laws and regulations, and sound internal control.
  • Verify the accuracy of vendor invoices and confirm that the correct general ledger account codes are properly used for processing.
  • Resolve invoice errors, discrepancies, and issues to ensure timely payment processing.
  • Prepare invoices and generate payment to vendors in a timely manner and match the check with any backup or supporting documentation.
  • Maintain AP vendor files and ensure required documentation (e.g., W-9) is current and in compliance with all applicable tax requirements.
  • Complete account reconciliation for cafeteria food service and expense accounts.
  • Reconcile and facilitate all school purchase-card (P-Card) related activities.
  • Inspect paid and unpaid invoices including cleared payment inquiries and check voiding to maintain accurate files and records according to business office standards.
  • Review automatic payments to ensure correct coding and authorization as well as sufficient contracts and documentation.
  • Track department account spending, monthly PO alignment and reconciliation to detailed operating budgets.
  • Develop and maintain a filing system for financial information, records, and documents to ensure easily available information.
  • Investigate and provide historical data for debts and bills as requested.
  • Field questions from vendors, creditors, or third parties and help (where applicable).
  • Provide supporting documentation for audits as requested.
  • Assist in special projects and additional duties as assigned.
Financial Analysis –
  • Prepare financial analyses from general ledger data.
  • Gather critical financial information for various stakeholders and produce useful reports.
  • Assist with budgeting activities to include performing budgetary data discovery, financial analysis, and modeling.
  • Prepare reports relating to preparation and submission of the operating budget, budget revisions, budget performance, etc.
  • Proactively work to identify and implement key opportunities for process improvements, especially with regards to the leveraging of financial data and information.
  • Design and create financial queries and reports for data validation and variance analysis.
  • Research and provide certain financial data as requested.
  • Help provide supporting documentation for audits as requested.
  • Complete special projects and additional job-related duties as assigned.
Financial Aid –
  • Work with the CFO and Director of Admissions to develop and manage the financial aid budget including developing financial aid models, gathering financial information from parents, and maintaining financial reports for visibility within the overall operating budget.
  • Collaborate with Admissions Dept and school administration to ensure adherence to policies and practices for awarding financial aid to students and families.
  • Execute the financial aid application process in conjunction with FACTS procedures.
  • Coordinate all contract changes and updates yearly.
  • Prepare reports and other supporting information for the Financial Aid Committee meetings.
  • Maintain financial aid records, databases, and assessment guidelines.
  • Create financial aid assessment offers for distribution to families.
  • Assist in the financial aid communication and negotiation process with families.
  • Manage all required reporting requirements with the TSSAA.
QUALIFICATIONS
  • Bachelor’s degree in Accounting, or a related field, i.e. Finance, with adequate accounting hours.
  • Certified Public Accountant (CPA) license. (Preferred)
  • At least 3 yrs. experience in financial analysis or a related field. (Preferred)
  • 3 years of non-profit accounting or related experience, preferably with private christian schools.
  • Possess critical thinking, problem-solving, and analytical skills with deductive reasoning.
  • Experience creating and interpreting financial data and detailed reports.
  • Proactive and able to work independently with limited supervision in a team environment.
  • Strong work ethic and moral compass.

Technical Knowledge:
  • Firm foundation of US GAAP and general ledger accounting.
  • Possess functional user skills with Quickbooks Online.
  • Ability to develop and manipulate spreadsheets for variance analysis, budgeting, forecasting, and reporting.
  • Comprehension of nonprofit accounting and finance concepts.
  • Proficiency with Microsoft Office (Word, Excel, and PowerPoint) and Google Workspace (Gmail, Meet, Calendar, Sheets, Slides, Docs, Forms, etc.)
  • Competency using applications of the FACTS/RENWEB platform.
  • Develop understanding of TSSAA rules/guidelines on student athlete financial aid.
SCHEDULE
This is a full-time exempt position based on a 12-month fiscal school year. The work hours are Monday-Friday from 7:30am-3:30pm with a one-hour lunch break commensurate to the hours the school is open. Extended hours of work may be required at times during the week, on weekends, and at special occasions to complete specific tasks and deliverables or meet specific turnaround assignments. Time-off shall coincide with the NCS school calendar with school closures, holidays, and a modified 10-week summer work schedule as determined by the Head of School for Nashville Christian School.
