Rubrik Job Board is Hiring a Program Manager, Benefits (Americas) Near Palo Alto, CA

Reporting into the Director of Global Benefits, Rubrik is seeking a Benefits Program Manager to join our world-class People organization as we continue to scale at a rapid pace. As a key member of the People team, this individual contributor role will be responsible for optimizing our benefits program, which includes self-funded medical, mental health, retirement, perks, time off plans and other health and welfare policies aligned to Rubrik's mission, values, and culture that will attract and retain the best and most diverse talent in the market.
This benefits program manager position is a hybrid role (3 days per week in office) based in the Bay Area (Palo Alto, CA) and will be instrumental in driving our Benefits strategy forward within the Americas. While it will be critical for this role to ensure the continued smooth operation of existing programs and policies, this person will also play a key role in program analytics, financial modeling, and fringe budgeting. At Rubrik, the benefits program manager will use data to drive innovation by introducing new initiatives, process improvements, and program design. This role, in partnership with other team members, is responsible for the oversight of U.S. and Canada benefit programs and compliance requirements of health and welfare policies under ERISA, wellness perks, time off and leave of absence, U.S. 401(k), Canada RRSP, commuter programs, etc. This is an exciting opportunity to combine a passion for data analytics and financial modeling with creativity and strategy, along with strong processing and air tight compliance to drive business impact and provide employees incredible experiences.
Core Job & Project Responsibilities
  • Manage all aspects of our benefit programs in North America, including
  • Program Management, Design, and Administration that align to Rubrik's Benefits Philosophy, Total Rewards Strategy and Talent Value proposition, while benchmarking against market practice, and within compliance requirements
  • Manage benefit renewals, including RFPs, cost impact analysis, and presenting proposals to internal stakeholders
  • Manage implementation of new vendors including alignment with cross-functional partners in procurement, legal, payroll, and finance
  • Own and manage vendor relationships, monitor vendor performance, and provide data analysis and key metrics on program utilization
  • Coordinate with brokers/vendors for benchmarking and survey participation, and providing analysis and recommendations to internal stakeholders
  • Oversee and administer compliance and local regulatory requirements pertaining to the broad benefit programs, respond to internal audits, and manage Workday configuration needs
  • Manage new benefits set-up from end-to-end with new country expansions within the Americas
  • Subject Matter Expert for all inquiries related to benefits and assisting in escalated employee support requests
  • Actively manage all Open Enrollment (OE) activity, including the development of communication materials, data auditing, ensuring employee support throughout the election period.
  • Ongoing support and monitoring of disability and leave of absence programs, partnering with internal and external partners to manage all federal, state, and Rubrik specific leaves of absence, and ADA accommodations.
  • Support other Benefits initiatives and programs as required
Financial Analysis & Partnership
  • Subject Matter Expertise and primary liaison on all things self-funding including, but not limited to the following responsibilities (30% of role)
  • Optimize benefits financial management processes across stakeholders in finance and accounting, identifying opportunities for streamlining, and enhancing internal practices.
  • Develop annual benefits program renewal budget, presenting cost-effective solutions that do not compromising the quality of benefit offerings to leadership for approval
  • Coordinate with broker actuaries to develop self-funded plan estimates and projections according to Rubrik's risk tolerances, demographics, and plan drivers
  • Partner closely with finance and accounting teams on monthly self-funding financial reconciliation and reporting
  • Present (in-person) monthly self-funded data insights to leadership, providing budget to actuals finance tracking, key metrics and proposals for recommended plan changes
Consulting & Partnership
  • Partner with team members in HRIS, HR Operations, Partners, FP&A, Accounting, Tax, Legal, Communications, Marketing, Total Rewards, Talent Branding, Talent Acquisition, Talent Development, DEI, Internal Audit, and Senior Leaders.
  • Consult with leaders and stakeholders, as applicable, to design group and/or country specific programs
  • Develop strong relationships with brokers, third-party consultants, and vendors to ensure our employees continue to receive the best service
  • Work cross-functionally to stand up benefits as needed when entering new countries in the Americas
Desired Qualifications
  • BA/BS (or equivalent) in Business, Communications, Marketing, HR, or similar field
  • 8 years of progressive of U.S. benefits administration, program management, plan design, and/or consulting
  • Deep benefits expertise and experience including ERISA and HIPAA
  • Demonstrable experience in benefits cost modeling, self-funded financial tracking, and partnering with actuarial consultants, finance, and accounting on fringe forecasting
  • Additional experience managing non-U.S. benefit programs a plus
  • Effective communicator with experience in drafting and developing employee benefit communication materials
  • Strong analytical, project management, and problem-solving abilities
  • Obsessed with attention to detail
  • Flexible, fast paced, willing to work with ambiguity and think outside the box
  • Thoughtful listener, effective educator, influential consultant, and compelling communicator.
  • Proficient using Google Sheets and Excel for data analysis and modeling
  • Experience with Workday Benefits preferred
The minimum and maximum base salaries for this role are posted below; additionally, the role is eligible for bonus potential, equity and benefits. The range displayed reflects the minimum and maximum target for new hire salaries for the role based on U.S. location. Within the range, the salary offered will be determined by work location and additional factors, including job-related skills, experience, and relevant education or training.
US Pay Range
$136,200-$204,200 USD
