Accounts Payable Specialist

Cellone’s Italian Bread Co. is hiring an Accounts Payable Specialist! Cellone’s is looking for a detail oriented and efficient accounts payable specialist to join our accounting team. Successful candidate must have prior AP and QuickBooks experience.

The Accounts Payable Specialist is responsible for day-to-day financial transactions, including accounts payable, corporate credit card reconciliations and various other transactional issues. The responsibilities include accurate entry of vendor invoices into QuickBooks, acquisition of all invoice approvals in accordance with Cellone’s approval policy, and timely resolution of vendor and manager inquiries.

The Accounts Payable Specialist must exercise discretion executing essential functions and be able to work independently, following through on assignments with minimal direction.

Responsibilities and Duties

• Analyzes and processes accounts payable in a timely manner.
• Codes such items as invoices, voucher, expense reports, check requests with correct codes conforming to standard procedures to ensure proper entry into financial system.
• Handles all vendor correspondence via phone or email.
• Investigates and resolves problems associated with processing of invoices.
• Prepares check requests, wire transfers and ACH transactions.
• Prioritizes invoices according to discount potential and payment terms.
• Track spending by corporate department.
• Respond to all vendor inquiries including payment status and statement of account issues.
• Reconciles various accounts on a monthly basis, bringing any discrepancies to the attention of the Treasurer.
• Maintain files and documentation thoroughly and accurately, in accordance with company policy and accepted accounting practices.
• Answer questions, perform research, troubleshoot and fact find whenever required.
• Prepare checks for mailing and distribution.
• Performs other duties as required to support the Accounting and Finance Department.

Qualifications

• Associate degree or higher in Business, Accounting, or Finance
• Minimum of 2 years in accounts payable role
• Minimum of 2 years using financial/accounting software
• Proficient in QuickBooks
• Proficient in Excel, MS Word and Outlook
• Ability to meet deadlines
• Exceptional written and verbal communication skills
