POSITION SUMMARY: The position requires a considerable amount of communication with both staff and public and is often the first point of contact with the public. Responsibilities include providing administrative support to staff, budget preparation, payment processing, and handling a wide variety of administrative tasks involving preparation and administration of legal documents and grant applications. May require working independently on various special projects and provide support for appointed commissions as assigned. Provides permit assistance and serves as an information resource to local officials and the general public. JOB DUTIES:
Provides administrative support for the department, budget preparation and tracking, collects and complies data and prepares reports
Manages the daily functions of the office, maintaining files, correspondence, permit records, office machinery and supplies
Prepares and maintains department payroll records
Prepares statements for state offices and processes payments
Performs front desk duties including greeting contractors and citizens, collecting permit information and certificate of occupancy; processing and issuing over-the-counter permits; and reviewing application submittals for completeness
Assists the public with general planning, and zoning and special permit related questions and problems
Receives site plans, collects fees, schedules site plan reviews, and distributes materials to other departments for review
Receives and documents nuisance, property maintenance and zoning complaints directing them to proper personnel
Assist Inspectors in receiving inspection requests and scheduling inspections
Coordinates documentation and legal notifications with third parties
Plans and coordinates special events hosted by the department, including seminars and neighborhood meetings
Prepares agenda and packets for Plan Commission, Board of Appeals, Electrical Commission and Washington Theater Redevelopment meetings and attends appropriate hearings
Prepares reports and grant applications and other materials as required
Issues permits for building, electrical, plumbing and signs, reviews and evaluates all applications for permits, collects fees for permits
Other duties as assigned by the Director of Planning
