This is specialized and confidentialoffice support work assisting the Human Resources Director inadministrative matters.

The HR Coordinatorreports directly to the HR Director and provides assistance tomembers of the Executive Management staff.

Duties may includeclerical assistance with correspondence; assistance with boardactivities; and secretarial support as well as routineofficerelated functions.

EssentialJob Functions

  • Performs confidentialsecretarial functions for HR including developing and typingrecorded dictation or written correspondence.
  • Responds to routine external correspondence forHR.
  • Types memos purchase requisitions andother department forms and documents.
  • Maintains agency employee data in Floridas New HireReporting System.
  • Keeps Agency in compliancewith labor relations laws posters.
  • Organizesevents meetings or conferences by arranging facilities andcaterers.
  • Reports current employmentstatistics (CES) to the Bureau of Labor Statistics.
  • Reviews and investigates all unemployment claims fileincluding searching the agencys account online at leastweakly.
  • Arranges travel plans and itinerariescompiles documents for travelrelated meetings for all staff exceptCEO & Commissioners.
  • VISA processing andreconciliation
  • Payroll processing.
  • Assist HR Director with personnel filemaintenance.
  • Conducts research forHR.
  • Prepares employee incentives recognitionas needed for milestones birthdays and flowers.
  • Evaluates and coordinates the training needs of theAgency.
  • Performs other duties asassigned
  • Secondary Approval for ACH payment tobank for Housing Choice Voucher Program landlords. (InterimBasis)
  • System Administrator for EnterpriseIncome Verification (EIV) System PIH Information Center (PIG)Lindsey System etc.
  • Server Administrator forthe system backup tapes in Lindsey.
  • Investigates properly and liability insuranceclaims.
  • Processes workers compensationclaims.
  • Respond to unemployment insuranceclaims. Secondary Backup for Functions
  • Backupfor Vendor Check Stamping.
  • Maintain the mastercopy of the company job description manual and ensure all copiesare updated; maintain attendance calendar for staff;
  • Backup for keycustodian of checks. Management Responsibility
  • Demonstrate the ability to communicate and interfaceprofessionally with internal departments clients and externalcontacts to the organization.
  • Demonstrateflexible and efficient time management and ability to prioritizeworkload.
  • Demonstrated ability to handlemultiple tasks simultaneously. Exceptional organizational skillsrequired.
  • Having the ability to meetdesignated deadlines is also a critical qualification.

Minimum Qualifications

  • AssociatesDegree
  • 2years of verifiable experience
  • Florida Drivers License required fortravel
  • Possess proficiency with MS Officeproducts including Word Excel Access PowerPoint andOutlook.
  • Successfulcandidates must pass a criminal background screening
