We're committed to bringing passion and customer focus to the business.Position Summary:The Executive Assistant role makes a difference by supporting the Executive Leadership team as they create the vision and strategies to drive the Credit Union to the future. Provide complex secretarial and administrative support, which requires independent judgment and initiative. A wide degree of creativity and latitude is expected. Will handle highly confidential information; possess a work ethic founded in honesty, dignity, integrity, self-respect, and trust.
Principle Duties And Responsibilities
  • Works with purpose and is driven to provide the best team member experience.

  • Provides high-level administrative support and assistance to multiple executives in the C- suite and/or other assigned leadership staff.
  • Performs clerical and administrative tasks, including drafting letters, memos, invoices, reports, and other documents for senior staff.
  • Arranges travel and accommodations for executives.
  • Schedules and attends meetings with executives taking notes and recording minutes.
  • Receives incoming communication or memos on behalf of senior staff, reviews contents, determine importance, and summarizes and/or distributes contents to appropriate staff.
  • Responsible for maintaining and managing multiple executive calendars.
  • Performs office tasks, including maintaining records and ordering supplies.
  • Providing phone support, answering, routing calls, and taking messages.
  • Reading and analyzing incoming memos and submissions and distributing them as needed.
  • Distribution of executive correspondence (mail, emails, etc.).
  • Assist with the planning and development of various sponsored company events.
  • Fosters a positive and engaging work environment for team members.
  • Collaborate with members of the management team and other team members.
  • Assumes responsibility for related duties and special projects as required or assigned.
  • Performs other related duties as assigned.
Knowledge, Skills, And Abilities (KSA)
  • Knowledge of Wellby’s organizational functions and general operating policies and procedures.
  • Knowledge of secretarial practices and procedures, business English, spelling, and punctuation.
  • Knowledge of personal computer, utilizing Microsoft Office Suite.
  • Skilled in operating computer equipment and general office machines such as computers, copiers, projection equipment, audio/video, Microsoft Teams, Zoom Video Communications, and adding devices.
  • Skilled in time management with a proven ability to meet deadlines.
  • Skilled in organization and attention to detail.
  • Ability to communicate clearly and concisely, orally and in writing.
  • Ability to efficiently understand and follow oral and written instructions, perform routine duties without close supervision, deal effectively with credit union members, and establish and maintain effective working relationships with other team members.
  • Ability to coordinate several concurrent activities simultaneously.
  • Ability to function well in a high-paced and, at times, stressful environment.
Supervisory Responsibilities
  • Team member does not have direct supervisory responsibilities.
Complexity & Scope of Work
  • The team member follows Wellby’s policies and procedures in accomplishing assignments. The guidelines cover most job-related situations but may frequently require the team member to use independent judgment in making decisions.
  • Instructions to the team member may be general or specific in nature. Receives oral and written directions from multiple executives in the C- suite and other leaders.
  • Tasks may occasionally have to be coordinated, integrated, and/or prioritized. Methods of accomplishing work are generally at their discretion.
  • The team member’s work is reviewed periodically for accuracy, completion, and compliance with the policies and procedures.

Physical Demands & Work Environment

  • Daily movements include sitting, standing, reaching, and grasping; operating computers and other office equipment; moving about the office; and attending possible onsite and offsite meetings. The team member must be able to exchange information, in person, in writing, and via telephone. Some degree of stress results from contact with leaders, managers, and other team members.
  • The ability to observe details at close range (within a few feet of the observer).
  • Must be able to occasionally lift items weighing up to 25 pounds across the office and load them onto shelves for various needs.
  • The noise level in the work environment is usually moderate.
  • Work involves the typical risks and discomforts associated with an office environment but is usually in an adequately cooled, heated, lighted, and ventilated area.
Minimum Qualifications:
  • Bachelor’s degree preferred or an equivalent combination of education & experience.
  • A minimum of 4 years of experience as an executive assistant or other relevant administrative support experience. One year of relevant work experience may be substituted for one year of the required education.
  • Computer skills a must; proficient in Microsoft Office Suite products and/or related software with the ability to learn new or updated software
