TUSCALOOSA HOUSING AUTHORITY is Hiring an Accounting Assistant Near Tuscaloosa, AL

Position Summary

Responsible for providing administrative support to the Director of Finance and Finance Department. The employee performs technical and complex accounting duties for the Agency. Responsible for maintaining accounting system; reviewing fiscal records; preparing detailed financial reports/statements, collects and researches data for surveys; prepares forms, and enters purchase orders. These tasks are to be performed at a level that supports the Agency’s efforts to achieve the highest rating on HUD’s evaluation systems. Other duties include maintaining a filing system and assisting with special projects. The omission of specific statements regarding duties does not exclude them from the position if the work is similar, related, or a logical assignment in association with this position.

Responsibilities

Undertakes and performs the following and all other work-related duties as assigned.

1. Posts accounts receivable payments to the appropriate software and provides daily reporting to management.

2. Makes bank deposits via remote deposit.

3. Processes month end for accounts receivable and prepares tenant statements for mailing.

4. Enters adjustments to tenant accounts into the software system and maintains documentation.

5. Processes tenant move-outs and prepares final disbursements or statements of final charges.

6. Enters vendor information into the Agency’s accounting system, updates and maintains vendor records as needed.

7. Enters purchase orders into the Agency’s software program.

8. Assists with reconciliation and processing of the Section 8 monthly HAP payments and assists in the associated reporting to VMS and the 2-year tool.

9. Prepares minutes from Executive Board Meetings or other similar meetings.

10. Provides technical support for staff, clients, partners, and vendors

11. Compiles monthly reports for Executive Board Meetings or other similar meetings and distributes them to stakeholders at management’s discretion.

12. Tracks PHAS indicators of performance.

13. Sets up and maintains files, storage, and retention.

Education and Experience

High School diploma is required; an Associate’s Degree or two (2) years of completed college course work from an accredited college or university is preferred. A minimum of four (4) years’ experience in accounts receivable or any equivalent combination of education, training and experience that provides the required knowledge and abilities.

Knowledge and Skills

1. Ability to organize work and ensure the accurate posting of transactions.

2. Good knowledge of GAAP, basic bookkeeping principles, recordkeeping procedures, budgeting, cost allocation, auditing, and financial reporting.

3. Ability to perform a job independently upon receiving general instructions.

4. Ability to operate Microsoft Office products including Word and Excel fluently.

5. Intermediate mathematical ability for working with real numbers, fractions, percentages, ratios/proportions, and measurements.

6. Must be knowledgeable in State requirements regarding Sales and Use Tax, 1099 IRS rules and general accounting principles

7. Ability to accurately and completely document in writing appropriate events and activities.

8. Ability to establish and maintain effective working relationships with co-workers, consultants, contractors, vendors, residents, HUD, and local, state, and federal officials.

9. Ability to deal effectively with sensitive and confidential information.

10. Ability to prepare clear and concise narrative and statistical reports and deal effectively with situations requiring tact and diplomacy, yet firmness.

11. Ability to operate appropriate Agency computer equipment and software packages.
