The Human Resources Coordinator completes clerical duties for the Human Resources department, including providing administrative support to employees, recruiting candidates to fill open roles and leave of absence functions.

This position is a hybrid role and reports onsite to our Roseville,CA location.

The HR Coordinator Essential Responsibilities include the following. Other responsibilities may be assigned.

  • Responsible for timely processing of Workers Compensation claim files, investigates claims, and documents claims in Human Resources Information System (HRIS).
  • Monitors the status of Workers Compensation cases to determine return to work status; provides HR, Payroll, Safety Director, and appropriate managers updates on their continuing status.
  • Regularly communicates with Workers Compensation Adjuster to ensure timely handling of claims to expedite closure.
  • Assists with administering employee Leave of Absences and engages on behalf of the company for ADA accommodations.
  • Records recognition incidents in the employee’s profile in the HRIS at the request of onsite supervisors, leadership, and the Safety Department.
  • Reviews incoming safety performance reports and records into the HRIS.
  • Responsible for Company recruiting efforts including, but not limited to, ad and job board placement; identification of potential internal candidates for transfers; initial screening and coordinates interviews.
  • Attracts suitable candidates through databases, professional job search sites, online employment forums, social media, etc.
  • Creates and maintains phone, in-person, and prescreen questions according to job description and requirements.
  • Prepares Offers of Employment and upon acceptance, initiates pre-employment screening and onboarding process in the HRIS.
  • Arranges appointment for onboarding with employee and collects/verifies new hire documents are completed, and coordinates onboarding with the employee’s manager and Safety Department.
  • Provides analytical and well documented recruiting reports to department director.
  • In collaboration with department managers, identifies future hiring needs for all departments.

The HR Coordinator Non-Essential Responsibilities include the following:

  • Identifies unsafe behavior or potentially hazardous working conditions and provides continuous training and coaching to others on Kodiak safety standards.
  • Acts as a backup for HR Department personnel, as needed.
  • Assists with completion of verifications of employment, unemployment claims, and other reporting requirements as appropriate.
  • Assists with annual and interim benefit enrollment process. Communicates with employees for annual and ongoing changes to benefit programs.
  • Arranges and coordinates meetings, orientations, and training sessions; includes arranging in-person training sessions with outside consultants or setting up web-based training.
  • Maintains knowledge of federal, state, and local employment laws and regulations to review company HR policies, systems and practices and recommended best practices and/or changes.

Qualifications: The requirements listed below are representative of the knowledge, skill, and/or ability required.

  • Education and/or Experience – Bachelors' Degree , or equivalent from four-year college; or a minimum of three years’ related experience and/or training; or equivalent combination of education and experience. HR certification preferred.
  • Language Skills: Can understand with ease virtually everything heard or read. Can summarize information from different spoken and written sources, reconstructing arguments and accounts in a coherent presentation. Can express themself spontaneously, very fluently and precisely, differentiating similar words or phrases in complex situations.
  • Mathematical Skills: Ability to add, subtract, multiply, and divide in all units of measure using whole numbers, common fractions, and decimals.
  • Reasoning Ability: Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
  • Computer Skills: Proficient knowledge of working with word processing documents, creating and managing spreadsheets, using databases, internet navigation, email communications, presentation/slideshows, and enterprise systems, and industry related software.

Physical Demands: The physical demands described here are representative of those that must be met by an employee and the frequency to successfully perform the essential functions of this job. Occasionally is up to 3 hours per day; Frequently is up to 6 hours per day; Regularly is up to 8 hours or greater per day.

  • Regularly remains in a stationary position at workstation.
