Job Summary:
We are seeking a detail-oriented Administrative Assistant to join our growing team. The Administrative Assistant will provide administrative project support to our manufacturing Production Team. The ideal candidate will be motivated to help ensure timely delivery of project documents and streamline workflow operations.
Location and Hours:
Hours: Monday - Friday, Day Shift (flexible schedule)
Contract: Work through September, with potential to extend duration
Location: Palatine, IL (in office)
Duties: and Responsibilities:
- Prepare administrative project files to support the Production Team.
- Assist in collecting and analyzing data from Production Team to identify trends, opportunities for improvement, and areas that require attention.
- Provide general office assistance, including answering phone calls and sending emails.
- Maintain an organized filing system for important and confidential company documents.
- Maintain production supplies inventory by checking stock levels, refilling stock, anticipating needed supplies, placing orders, and expediting orders for supplies.
- Perform regular quality audits, ensuring compliance with company policies. This includes reviews of final project documents and inventory updates.
- Create, implement, and oversee new processes to optimize efficiency and productivity within the office environment.
- Generate regularly scheduled reports, including summary of project statuses and other relevant metrics.
- Coordinate with different departments and liaise with external stakeholders, when necessary.
Qualifications:
- High School Diploma or GED
- Proven experience in administrative roles with proficiency in Microsoft Office Suite
- Strong organizational skills with the ability to prioritize tasks efficiently
- Excellent communication skills, both verbal and written
- Familiarity with office equipment and procedures
- Ability to type accurately and at a reasonable speed
