ROLE TITLE: Executive Assistant

POSITION REPORTS TO: Vice President of Institutional Advancement

Summary of Position

Under the direction of the Vice President for Institutional Advancement, this position provides executive-level support to the Vice President for Institutional Advancement. Actively fosters cooperation and communication between individuals and teams within the division and across campus.

As the Executive Assistant, you will:

  • Ensure timely information flow to and from the Vice President including expert prioritization, the handling of extremely confidential and sensitive information, and highly professional contact with on- and off-campus constituencies on behalf of the Vice President.
  • Schedule large and/or complex meetings with key donors, volunteers, and search committees, including high-level executives. Arrange for individual and small group meetings.
  • Prepare and initiate agendas, minutes, reports, and supporting materials for the Advancing Allegheny Committee of the Board of Trustees. Provide high-level administrative support to the Governance Committee and Vice Chair of the Board.
  • Maintain the Vice President’s calendar, email, and other communications, including mail and other correspondence. Draft responses to correspondence for the Vice President’s review.
  • Work closely with the Vice President and Direct Reports to coordinate activities of various offices and individuals within the division. Actively foster cooperation and communication between individuals and teams within the division.
  • Support budget management for principals, tracking expenditures and providing reports as needed; prepare expense reports, credit card statements, payment requests, and travel reimbursements. Finding ways to shift funding in order to address changes in priorities without damaging the overall bottom line and creating zero base budgeting process. Works with the budget managers on the team to ensure they are in budgetary compliance.
  • Act as liaison to the President’s Office and coordinate the President’s travel on behalf of the division in concert with the President’s Assistant. Prepare the weekly President’s Correspondence Reports.
  • Tippie Alumni Center Building Coordinator.

Experience and Qualifications

  • Bachelor’s degree preferred but will consider years’ experience in higher education and/or administrative support in lieu of a degree.
  • 3 years of relative experience to the position essential functions
  • Strong organizational, communication and interpersonal skills, and capable of prioritizing multiple tasks and projects simultaneously
  • Experience with office administration (word processing, filing, etc)
  • Demonstrated ability to work effectively and positively in a highly collaborative environment.
  • Demonstrated and extensive problem-solving and decision-making skills
  • Ability to build relationships and foster relationship development
  • Ability to work varied hours based upon the needs of the division.

YOUR COMPENSATION

New hires are typically brought into the organization at a salary between the range minimum and the salary range midpoint depending on qualifications, internal equity, and the budgeted amount for the role.

The expected minimum starting point for this position is $45,000 annually.
