Houghton College is Hiring an Executive Assistant to the President Near Houghton, NY

Executive Assistant to the President

40 hours per week, 12 months
Reports to: Reports jointly to the University President and the Chief of Staff

Nature of Position:
Houghton University provides an academically challenging, Christ-centered education in the liberal arts and sciences to

students from diverse traditions and economic backgrounds and equips them to lead and labor as scholar-servants in
a changing world. Working in close cooperation with the Chief of Staff, the Executive Assistant coordinates the daily
operations of the President’s Office and performs a variety of administrative duties to support the University
President.

Essential Responsibilities:
By coordinating the president’s calendar, travel logistics, and office management, the Executive Assistant ensures
the president, and the Office of the President, works efficiently, effectively, and professionally. Focused on
creating a professional and hospitable ethos in the office, this is an in-person position.
The following are some essential functions of the Executive Assistant position with guidance and prioritization
provided by the Chief of Staff:
Office Management

  • Calendaring and Appointments: Schedule appointments and maintains calendar for the president;
schedule virtual meetings (Teams, Zoom, etc.) for the president
  • Travel Logistics: coordinates all the president’s travel including preparing conference registration forms;
making travel arrangements for president including hotel, airline, rental car, etc.; providing step-by-step
directions during travel
  • Professional Communication: Representing the president, this position communicates regularly with
critical individuals on- and off-campus and must always communicate professionally and clearly—
including but not limited to parents, board members, and sister institutions. Prioritizes answering the
office phone, regularly checking any voicemail messages and responding in a timely manner; emails must
be attended to daily in a timely manner; manages daily mail and package deliveries; assisting the
president with timely signatures as well as personalized mailings (birthday cards, Christmas cards, etc.);
due to the president’s travel, text messaging is also needed.
  • Document Handling: Managing correspondence, maintain electronic and paper files; purchase office
supplies
  • Ethos of Hospitality: Maintaining the office in a manner that welcomes campus visitors, executive guests,
and members of the campus community

Board Logistics (Board of Trustees and President’s Advisory Board)

  • Manages contact information and lists of board members
  • Coordinates travel arrangements for board members
  • Manages housing during meetings for all board members
  • Coordinates meals
  • Assists Chief of Staff with creating meeting materials and packets
  • Assists with coordination of committee meetings
  • Assists with logistics for conference calls, virtual meetings, or virtual participants
Commencement Coordination
  • Manage and support all commencement and baccalaureate events from conception to completion
  • Coordinates commencement and baccalaureate related details and questions on production, volunteers,
family/guest experience, and graduate experience, etc.
  • Work with internal and external partners to plan, organize, schedule, and execute event details, which
include but are not limited to location booking, invitations and event registration, catering, technology,
equipment, and staffing.
  • Coordinate all communications and programmatic collateral including communications/printing timelines,
video needs, scripts, printed programs, processional directions, materials for families (starting in January),
online content, and chair the university-wide commencement operations team.

Executive Support

  • Schedule use of the Dieter Board Room and president’s use of Luckey conference room
  • Prepare receipts and credit card reconciliations for the president
  • Print gift receipt lists, birthday lists, and monitor cards for the president
  • Oversee and manage use of Guest Rooms at president’s home
  • Miscellaneous other duties as requested
Success Profile:
The ideal candidate for this position exhibits the following:

Pace: The business of this position fluctuates with events and the campus calendar – being fast paced at
times depending on the president’s schedule, trustee meetings, and other annual events.
Decision-making: Must be able to multitask, prioritize items, and be highly organized. This position
requires someone who can adapt, anticipate, and problem solve.
Communication and Collaboration: It is important for the Executive Assistant to work well with others
and have good relationships with other offices on campus to work collaboratively and effectively.

Qualifications:

  • Bachelor’s degree, preferred
  • Ability to handle confidential material appropriately
  • Ability to multitask, set deadlines and priorities
  • Careful attention to detail, ability to take initiative and be proactive in problem solving
  • Ability to communicate professionally, effectively, and efficiently orally and in writing
  • Skills in problem solving, anticipating needs, organization, and time management
  • Aptitude and proficiency in Microsoft Office software, specifically in Microsoft Outlook for calendaring
and emails
  • Employment experience in office setting; Knowledge of general office procedures
  • Christian integrity and character, supportive of the Wesleyan Church theological and doctrinal positions.
