Overview:
We are seeking a highly organized and detail-oriented Executive Assistant to provide administrative support to our executive team. The ideal candidate will have excellent communication skills, be proficient in various software applications, and have a strong ability to multitask. This is a full-time position based in our office. Nonprofit knowledge and experience is preferred.
Duties:
- Manage master calendar, including scheduling speaking engagements, appointments, meetings, travel arrangements
- Prepare and edit correspondence, reports, and presentations, including solicitation letters and grant applications
- Database entry, management and report building
- Coordinate with accountants and assist with financial tasks such as expense tracking and budget management using QuickBooks
- Perform HR duties in relation to maintaining personnel files and records
- Transcribe meeting minutes and maintain accurate records
- Maintain office organization by managing files, documents, and records to include grant funds administration
- Type and proofread documents with accuracy and attention to detail
- Assist with special event planning and coordination as needed
- Utilize computer literacy skills to efficiently navigate software programs and systems
Qualifications:
- Proven experience as an Executive Assistant or similar role
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint and Publisher)
- Familiarity with QuickBooks for financial tasks is preferred
- Strong donor relation skills
- Excellent organizational skills with the ability to prioritize tasks effectively
- Attention to detail and accuracy in all work performed
- Ability to handle sensitive information with confidentiality and discretion
- Strong written and verbal communication skills
- Ability to work independently and collaboratively in a fast-paced environment
