Remote or Hybrid option?Job SummaryThe Coastal Oregon Marine Experiment Station – Astoria is seeking an Office Manager. This is a full-time (1.00 FTE ), 12-month, professional faculty position. COMES -Astoria is a research unit with responsibility for managing and leasing spaces to a variety of tenants in 4 buildings and associated grounds. This position will provide primary administrative and operational support to the Director of COMES -Astoria as well as COMES (Newport and Astoria) faculty in supporting the organization’s mission and programs. The incumbent will manage and facilitate both the research unit and facility and tenant administration and operations, as well as manage daily business office operations, and will organize, prioritize, and implement multiple tasks with overlapping timelines. Tasks may vary and change in scope and complexity over time. In addition, this position will work closely with other administrative assistant positions within COMES -Newport.
This position is onsite and located in COMES -Astoria at the Seafood Research and Education Center in Astoria, OR.

Key Responsibilities40% Facility and Tenant Administration and Operations30% Research Unit Administration and Operations20% Support for COMES Faculty and Staff10% – SupervisionWhat You Will NeedBachelor’s degree in business, communications or a related field and three years of experience providing advanced administrative support to an administrator, leader, unit or business in a complex office environment; or an equivalent combination of education, training, and professional office management and supervisory experience.
Demonstrated proficiency with Microsoft Office suite.
Demonstrated experience with budgeting, purchasing, accounts payable and receivable, and travel coordination.
Prior supervisory experience.
Strong written and verbal communication skills.
Demonstrated capability to work in a public contact position and to work cooperatively with a variety of people.
Ability to protect sensitive and confidential information.
Demonstrated multi-tasking abilities showing skill at prioritizing work with the capability of paying close attention to detail.
Ability to work independently, under pressure of deadlines, with frequent interruptions.
Demonstrable commitment to promoting and enhancing diversity.
This position is designated as a critical or security-sensitive position; therefore, the incumbent must successfully complete a criminal history check and be determined to be position qualified as per University Standard: 05-010 et seq. Incumbents are required to self-report convictions and those in youth programs may have additional criminal history checks every 24 months.
This position requires driving a university vehicle or a personal vehicle on behalf of the university; therefore, the incumbent must successfully complete a motor vehicle history check, possess and maintain a current, valid driver’s license in their state of residence, be determined to be position qualified and self-report convictions as per University Policy 05-030.
What We Would Like You To HaveDemonstrated understanding of information technology such as computer hardware, software, peripherals, IT devices, and software installations/upgrades to complete and/or coordinate those tasks with OSU Information Technology for off campus location.
Ability to adapt to changing technology.
Demonstrated proficiency with computerized accounting systems.
Prior experience working with OSU or similar academic software systems.
Prior experience working within a state agency or higher education.
Experience creating/designing/maintaining electronic web pages and social media.
Working Conditions / Work ScheduleOn an occasional but pre-scheduled basis, will need to attend and provide support at events in the evening or on weekends.
This position spends extensive periods of time using a computer.
Ability to lift, carry, push and pull items under 30 pounds.
