Job Summary:

The Administrative/Accounting Assistant provides a variety of administrative, clerical, and accounting support to the Executive Director (ED) and Board of Directors. Duties may include researching/compiling information, coordinating activities between departments and/or outside services, and general accounting responsibilities. This position maintains data, generates and formats reports and other documents using a full range of computer software skills including spreadsheets, word processing, desktop publishing, database management, presentation software, accounting software, etc. May assume responsibility for special projects relating to department functions.

Duties/Responsibilities (not all inclusive):

  • Assist to conserve Executive Director’s time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; and initiating telecommunications.
  • Plans and schedules meetings, conferences, teleconferences, and travel.
  • Assists Executive Director with inter-office communications:
  • Board of Directors communications/relations:
  • Prepares minutes for board committees.
  • Maintains board member documentation.
  • Schedules new board member onboarding: schedules tour, meetings with senior staff, coordinates other onboarding activities as determined.
  • Works with Executive Director and Board Chair to ensure proper onboarding, along with maintaining consistent board member communications.
  • Basic accounting tasks include accounts payable, collect and reconcile credit card receipts for multiple cards, reviewing Expense Reports for completion, processing statements, etc.
  • Manage Food Bank office and cleaning supply inventory.
  • Welcomes guests, board members, volunteers, vendors, by greeting them, in person or on the telephone, and answering or directing inquiries.
  • Prepares reports by collecting and analyzing information.
  • Protects the organization by keeping information confidential and understanding the importance of exercising discretion and diplomacy.
  • Provides historical reference by developing and utilizing filing and retrieval systems and recording meeting discussions.
  • Contributes to team effort by accomplishing related results as needed.
  • Performs other duties and projects as assigned.

Qualifications

To perform this job successfully, the individual should be proficient with Microsoft Office Suite.

  • Associate or bachelor’s degree preferred
  • Valid Driver’s License with good driving record.
  • Three-to-five years of administrative/executive assistance experience
  • Two years of accounting experience
  • Excellent MS Office skills to include Outlook, Word, Excel, & PPT
  • Previous experience preparing reports, memos, general correspondence
  • Meeting preparation assistance, including monthly committee and board meetings experience preferred
  • Two-three years’ experience with non-profit preferred.
  • Regular access to dependable transportation with insurance.
  • Ability to successfully pass background check and drug screening.
