SummaryThe People Team Coordinator plays a crucial role in managing various administrative tasks within the People Team. This role is the first point-of-contact for the People team and is a key resource for team members, managers and the People Team, partnering across the entire organization to ensure our processes are operating effectively with accurate information. Additionally, the People Team Coordinator contributes to enhancing People Team processes and systems, streamlining workflows, and supporting the implementation of innovative solutions.
Responsibilities
  • Provide professional and confidential support and administration across all People functions
  • Serve as point-of-contact for People Team related inquiries and requests, manage team inbox and delegate to appropriate team member
  • Oversee team member onboarding, offboarding, and transfers, coordinate with internal partners and team members and delegate or schedule tasks as needed, prepare and assign paperwork and ensure all necessary documents are completed, coordinate the return of company property as needed, and update records and systems to reflect employment changes
  • Manage verification of employment eligibility process, conducting thorough and accurate verification of employment eligibility through the completion and maintenance of I-9 forms in compliance with federal regulations, and coordinating with internal partners to ensure all documentation is valid and up-to-date as needed
  • Perform various People Team administrative tasks, including employee data entry in our HRIS, employment verifications, and complete other employment-related documents associated with team member changes
  • Maintain current and accurate information within the HRIS and SharePoint and organize, update, and maintain team member records, including both hard and digital copies
  • Conduct regular audits of People Team records, processes, and programs to ensure compliance with company policies, procedures, and relevant employment laws, and recommend corrective action as needed
  • Utilize the HRIS to prepare and analyze people related reports and data, and assist leaders in creating customized reports providing insights and recommendations to support strategic decision-making
  • Lead initiatives to improve HRIS processes and workflows, streamline data entry, and enhance user experience, and collaborate with cross-functional partners and external vendors to support improvements and integrations with other systems
  • Assign training modules and courses to team members through the HRIS Learning Management System and monitor progress and completion rates, following up as needed to ensure compliance with training requirements
  • Provide general administrative support to the People team, manage project-related tasks, update team calendar, coordinate activities, and order supplies as needed
  • Prepare, maintain or monitor various personnel and risk management programs/files

RequirementsTo perform this job successfully, an individual must be able to perform each essential duty satisfactorily.   • 2 years’ related experience in HR and/or payroll related position, or equivalent combination of education and experience
  • High School Diploma or GED, Bachelor’s or Associate’s degree a plus
  • Must be detail oriented, accurate, and have a good understanding of time frames and meeting deadlines
  • Demonstrated high level of operating with integrity and strict confidentiality
  • Strong verbal, written, and interpersonal skills, including the ability to communicate effectively with a focus on inclusiveness and collaboration
  • Solid understanding of HR principles, practices, and procedures, as well as federal, state, and local employment laws and regulations
  • Strong computer skills with HRIS software experience and demonstrated proficiency with Microsoft Office/365 applications (Excel, Word, PowerPoint, Teams, SharePoint and Outlook)
  • Demonstrate strong sense of urgency, prioritizing effectively and driving for results in a dynamic environment
  • Demonstrated ability in creative problem-solving with an interest in bringing progressive solutions to move the organization forward?
  • Occasional travel required to other locations
