Emergency Management Division
Camp Murray, WA
This recruitment may be utilized to fill 2 vacant Administrative Assistant 3 positions within the Emergency Management Division.
The Washington Military Department is seeking an organized, proactive, critical thinking, creative, positive, and motivated professional to join the Operations Unit within the state's Emergency Management Division. Reporting to the Deputy Director, this position is responsible providing complex administrative and secretarial support to the Deputy Director and program staff to assist in accomplishment of the division's mission and objectives.
This is a civilian position and does not require military service affiliation.

As a part of the Washington Military Department, the Emergency Management Division leads and coordinates mitigation, preparedness, response, and recovery in Washington State to minimize the impact of disasters and emergencies on the people, property, environment, and economy.

Duties

  • Performs administrative and secretarial support duties with delegated authority to perform higher level administrative duties and/or coordinate administrative support functions for the Director’s Office.
  • Facilitates task management to ensure the timely processing of documents.
  • Provides administrative support to emergency management operations activities.
  • Provides support for unit budget development and management activities.
  • Serves in an operational capacity in the state Emergency Operations Center, Joint Information Center, field offices and/or command posts during emergencies and disasters.

Qualifications

REQUIRED
High school diploma or GED;
AND
Four years of progressively responsible experience in office, secretarial, bookkeeping, accounting, or general administrative work.
Formal education and/or training in office or secretarial occupations, bookkeeping, or accounting will substitute year for year for the experience requirement.
DESIRED
Education:

  • Associate degree in business, accounting, emergency management, or related field.
Experience:
  • Developing, updating, maintaining, and preparing unit budget documents using spreadsheet and word processing.
Skills and Abilities to:
  • Coordinate office operations; establish office procedures; review information; maintain office supply inventory; make business travel arrangements; manage records; and provide support to the unit manager.
  • Prioritize and perform multiple tasks in the same timeframe, handle interruptions appropriately, and return to incomplete tasks.
  • Organize and prioritize work, devoting adequate time and attention to individual tasks. Transitions easily between tasks, responding quickly and efficiently to work requests.
  • Complete high volume of work over the course of a day.
  • Remain acutely aware of timeframes and successfully meets deadlines.
  • Provide excellent customer service to vendors, project staff, local jurisdictions, and other customers as needed.
  • Use Microsoft Office Suite (Word, Outlook, Excel, PowerPoint, and SharePoint) to develop documents in support of program requirements.

Supplemental Information

Compensation: Wage/salary depends on qualifications or rules of promotion.
CONDITIONS OF EMPLOYMENT
Background Investigation:Must successfully complete the appropriate background checks required for employment. Must be willing to sign releases of information and shall not have access to any investigative materials and files. The processing of background checks can take up to six months post-employment. Failure to successfully pass a background check may be cause for termination.
Union Shop Provision:This position is covered by a union shop provision - Washington Federation of State Employees.
Driver's License:

  • Valid to drive in the State of Washington.
  • Must meet requirements of the REAL ID Act. This is required for base access and will be required upon hire.
Military Facility:Willingness to work on a Military Controlled Access Installation.
Camp Murray uses the Defense Biometric Identification System (DBIDS) for entry to the installation. Must meet access requirements / background check which can be found in the Camp Murray Access Requirements Policy (Unified Policy No. 18-01). This includes possession of an Enhanced Driver’s License, or other REAL ID Compliant Identification.
Work Hours:Monday through Friday (5/8 schedule). Actual hours will start no earlier than 6:00 am and end no later than 6:00 pm, and will include core business hours of 8:00 am to 5:00 pm.
Emergency Assignment:Upon activation of the State Emergency Operations Center (SEOC) or Joint Field Office (JFO), incumbent may be required to work in an alternate location with rotating shifts, including weekends and evenings, in a highly stressful and fast-paced environment.
Travel:Occasional statewide travel may be required up to 5% to include overnight stays.
