Job Summary: 

  • The Patient Account Representative Supervisor role is part of the finance team that supports ETS’ mission through working together with other staff to transform systems of harm and inequity to create different approaches to improving community health and safety through addressing substance use and homelessness.
  • The Patient Account Representative Supervisor role makes a critical difference at ETS by ensuring all eligibility, referrals, prior authorization, patient payments, and collection procedures are executed timely, accurately, and in line with governmental laws and policies. This position also supports day-to-day functions of certain accounting processes to ensure timely closing by importing clinic payments into our accounting software.

  • The annual salary range for this position is $72,000 to $79,000. ETS strives to achieve pay equity and transparency as part of our goal to create an equitable workplace.
  • The position is hybrid and onsite, the location is at ETS’ Admin, Seattle, Renton and South Sound facilities. The days and hours are 5:00 am to 1:00 pm, Monday through Friday.

 What you contribute to this role – Responsibilities:

  • Help ETS succeed in carrying out our mission through working together with other staff to transform systems of harm and inequity to create different approaches to improving community health and safety through addressing substance use and homelessness.
  • Assist with the organization-wide initiative to reimagine our interconnectedness within our community to overcome the aspects of our society and organizational culture shaped by white supremacy and settler colonialism.

Eligibility & Authorizations

  • Responsible for managing the weekly batch eligibility reports. Running the reports, disbursing reports, and making sure all corrections are done within 48 hours of receiving to ensure proper billing goes out.
  • Coordinates and reviews the monthly client eligibility and referral process done by the Patient Account Representatives to ensure claims go out with the correct patient information.
  • Responsible for managing the entire prior authorization and referral process. Monitors and maintains prior authorization policies. Runs prior authorization reports to ensure staff are not letting prior authorizations lapse or terminate. Which includes incoming and outgoing referrals, prior authorizations, and network referral systems.
  • Analyzes trends impacting patient eligibility, referrals, prior authorizations, and patient collections. 
  • Takes appropriate action to realign assigned staff and revise policies and procedures.
  • Analyzes reports for accuracy and performance on patient intake information, patient insurance information, referrals, and prior authorizations. 
  • Reports trends, variances and problem areas due to performance indicators to direct report in a timely manner.

Patient Collections & Invoicing

  • Responsible for managing the monthly patient statement run. Outstanding patient AR and collections.
  • Responsible for invoicing SGF, Mobile Van, Score jail dosing and Thurston County jail dosing monthly.
  • Payment Processing 

Account Management

  • Audits current procedures to monitor and improve efficiency of patient eligibility and satisfaction, referrals and authorizations along with patient collections
  • Run and review denial reports monthly for claims that are 30 days away from being too old to send corrected claims. 
  • Coordinate denied claims due to client misinformation with the Patient Account Representatives to correct the error and send to the finance billing team for reprocessing. 

Supervisory Responsibilities

  • Conducts monthly and or quarterly staff meetings for updates on improvement opportunity or education needs. Meet with patient account representatives weekly to ensure the workflow is going smoothly and any issues are resolved in a timely manner.
  • Conducts monthly One on One meeting with all assigned staff. Provides leadership, direction, training and guidance to staff.
  • Trains new PARS or Specialist in all policies and procedures.
  • Ensure scheduling and completion of initial and ongoing training of essential EHR systems. 
  • Assist staff in defining continuing education needs.
  • Promote teamwork to improve communication, issue identification and problem solving. 
  • Processes time off and payroll via HRIS System (Paylocity).
  • Conducts formal review processes for each staff member and makes recommendations for wage adjustments. 
  • Discipline and terminate employees as required by corporate guidelines in consultation with the HR manager.
  • Always accessible to listen to, converse with, advice and counsel staff in confidential manner. Interviews and hires staff to fill open positions.

Cross-department Collaboration

  •  Attends meetings through-out the month: such as the Revenue Cycle Meeting
  • Problem solves issues raised by physicians, employees and patients. Seeks support as needed from direct report in a timely manner.

Requirements

What you bring to this role – Qualifications:

Education and/or Relevant and Lived Experience (if applicable): 

  • A minimum of 3 years of experience with databases, ACCESS, and SQL and EMR (electronic medical record) are preferred. 
  • Experience in the behavioral sciences, accounting or healthcare / medical is desired, however previous experience with drug abuse treatment is not required.
  • Working knowledge of Commercial, Medicaid and Medicare medical billing preferred. Orientation and training are provided upon employment.
  • A minimum of 3 years’ experience in a lead or supervisor position or setting.

 Knowledge and Skills

  • An understanding of racial justice and social equity and a commitment to helping create an equitable environment for all ETS clients and patients as well as fellow staff.
  • Ability to establish and maintain effective working relationships with clients, patients, and staff from a wide variety of ethnic, socioeconomic, and cultural backgrounds.
  • Ability to work with a multi-disciplinary team in a health-care/behavioral healthcare setting.
  • Strong interpersonal skills and verbal/ written communication skills.
  • Excellent organizational skills and ability to prioritize workload, work independently, and complete tasks timely and efficiently.
  • Dependable, able to work under pressure, receptive to change, willingness to learn, cooperative approach to problem solving.
  • Flexible team player, with excellent attention to detail.
  • Ability to maintain confidentiality and use discretion when handling highly sensitive information.
  • Ability to set boundaries, resolve conflict and de-escalate issues.
  • Computer literate, with basic knowledge of Microsoft Office Suite, as well as a high level of initiative in keeping current with technological change.

 Physical Requirements:

  • The employee may be exposed to illicit drug residues and fumes or other bio-hazardous materials when carrying out job functions. There is also potential for exposure to bloodborne pathogens. ETS will provide employees with appropriate training to limit the risk of exposure to bloodborne pathogens. Policies and procedures are in place addressing each item specifically.
  • The employee is regularly required to sit; use hands to finger, handle or feel objects, tools, or controls; reach with hands and arms and talk or hear; frequently required to stand, walk, and kneel; occasionally to climb balance, or stoop; rarely to crouch or crawl.
  • The employee must occasionally lift and/or move up to 30 pounds. Specific vision abilities required by this job include close, color, and peripheral vision and the ability to adjust focus. The noise level in the work environment is moderate.
