This position is responsible for many Human Resources and Facilities administrative functions. This position oversees all building-related activities and works closely with the Chief Human Resources Officer and management team regarding the maintenance of the building’s interior appearance, ensuring all facilities are well functioning, cleaned appropriately by our outside vendors and all supplies for the office and break rooms are well stocked on a regular basis. Ensuring that all equipment and workspaces are set for new hires and employees to perform job responsibilities is a key function of this role. The shipping and receiving areas and common workspaces are the responsibility of this position. The goal is to ensure our Corporate Office is always running smoothly and presentable to customers and visitors.
Additionally, this position is an integral part of the Human Resources team. This position, in conjunction with the HR management team, is responsible for ensuring the data integrity of the HRIS system by entry of l employee changes, new hires, transfers, etc., and ensuring all information is entered accurately and completely at other company facilities. This position supports a variety of administrative Human Resources functions throughout the company, maintains employee files for the Non- Alabama employees, assists in onboarding, recruiting and facilitates employee activities internally and out in the community. This position will interact frequently with all levels of Exxel Outdoors employees.
Essential Duties And Responsibilities HR support
  • Assists with onboarding new hires by sending new hire the ADP email with the link to the ADP Onboarding process, organizing, and cleaning the workstation, putting up name card, generating access cards, providing training and introduction to office programs and protocols, including ADP and Concur; and distributing welcome gear.
  • Creates and maintains HR files on a weekly basis while securing associates’ personal data and ensures the destruction of files in a timely manner (seven years).
  • Maintains and ensures the accuracy and completeness of the employee data and file in the HRIS.
  • Enters new hire personal information: completely and accurately, benefit information, associate changes, and terminations into the ADP HRIS and notifying the affected department.
  • Maintains all employees’ files, ensuring confidentiality.
  • Ensures all employees turn in performance reviews, Objectives and Bonus plans in a timely fashion.
  • Creates the performance Spreadsheets and ensures 90-day. performance reviews are represented on the review spreadsheet.
  • Assist with maintaining employee, I9, EEOC files and ensure current.
  • Runs E-Verify on new hires.
  • Runs background screens and references on applicants.
  • Assists with interviews, scheduling/coordination.
  • Assists with coordinating and supporting company activities.
  • Responsible for leading and coordinating the employee activities committee (Happy Camper Club), and ensuring timely communication and calendar items, inclusive of monthly activity calendars.
  • Processes all employee’s product allowance orders.
  • Assists with preparing presentation and communication materials, including the company newsletter.
  • Provides general administrative assistance to Human Resources and executives as requested.
  • Maintains open position summary and adding new positions to job application site.
  • Maintains and updates company and legal postings in Corporate Office break room.
  • Maintains current organizational charts
  • Creates and maintains monthly anniversary and birthday postings on ADP and sent to all locations.
  • Fields and answers management and associate questions regarding HR policies and procedures, benefits, programs, or other associate related issues of which the answers are clear and specific.
  • Refers employees to a Human Resources Management person regarding any HR or employment related issue and communicates this with the HR management team as appropriate.
  • Assists with open enrollment and benefit administration and ensures HIPPA compliance.
  • Ensures policies and procedures for all position responsibilities are created, current and up to date.
  • Ensures company, employee confidentiality and maintains HR related information within the HR team.
  • Assists with the benefit audit to reconcile and approve benefit invoices for payment monthly. FSA & HSA funding reconciled bi-weekly.
  • Conducts HR file audits to ensure paperwork is current.
  • Responsible for the federal EEO-1 report is completed annually for the previous year.
  • Verify benefit feeds weekly. Own the corrections of errors if any occur.
  • Assists the HR management team in setting up Open Enrollment in the HRIS system.
  • Acts as back up for Payroll and assists in documentation of SOP’s.
  • Active member of Company Safety committee and acts as the HR Fire Warden.
  • Ensures all postings in Breakroom are current and removed when necessary.
  • Misc. HR duties as requested.
Facilities
  • Responsible for greeting and assisting guests and vendors in a professional and courteous manner.
  • Responsible for ensuring all guests sign in and are assigned a visitor passes.
  • Coordinates and schedules service vendors for facility.
  • Ensures timely resolution to facility issues including equipment and building repairs.
  • Responsible for ordering and stocking all office and shipping supplies for the Broomfield office within office budget.
  • Organizes the upkeep of the central supply room, mailboxes, and common supply areas throughout the office.
  • Responsible for the facilitation of company employee events.
  • Coordinates daily activities of the shipping room which includes daily mail/package distribution, and cleanliness.
  • Responsible for loading postage machine and assigning groups to authorized employees.
  • Tracks and ensures company payments for employee utilization of shipping equipment for all locations.
  • Works with Marketing, Product and Sales to ensure the timely removal of their large shipments from the mailroom to avoid clutter and ensure safety. Work with Product Managers to ensure product is stored safely.
  • Ensures that the office and off-site facility is cleaned out from product minimally 2x/year.
  • Facilitates employee sales when needed, at least semiannually. Responsible for the donation of leftover product from the sales.
  • Ensures that all mail is delivered to addresses in a timely manner and decide for mail and shipping room when unavailable.
  • Maintains overall office appearance including common areas, conference rooms, kitchens, and entryway. Ensures kitchen and break areas are keep tidy and clean by coordinating/encouraging staff to all do their part in cleaning up after themselves and their guests.
  • Submits vendor invoices to Accounts Payable.
  • Updates and distributes names plates for all employees in the Broomfield office.
  • Creates, executes, and updates front desk policies and procedures and maintains the front desk policy and procedure manual.
  • Assists management and associates with maintaining a clean facility by setting up cleaning schedules and helping ensure the completion of the cleaning.
  • Ensures all product for new hire onboarding and employee recognition is cataloged and organized in a professional presentation.
  • Available to assist in Meeting Support for guests and presentations.
  • Assists staff with conference room/equipment booking.
  • Responsible for supporting Leadership/HR driven All Hands meetings, including meeting preparation, support and clean up.
  • Responsible for working closely with Sales, Marketing, Product teams to aid to plan, prepare and coordinate large meetings.
  • Responsible for coordinating the All-Hands meetings to include refreshments, equipment, Certificates, listing of new hires, promotions, and people leaving, as well as list of Birthdays and Anniversaries
  • Maintains a current list of all contacts from a maintenance perspective with corresponding contracts.
  • Identifies and follows through on any maintenance issues in the building for timely resolution.
  • Ensure Cameras and alarm systems are in working order.
  • Review cameras as needed
  • Ensure Security system, card system are working, and office doors remain locked at appropriate times
  • Determine any facility needs in Bentonville office in conjunction with the Vice President of Sales for Walmart.
  • Misc. Facilities duties as requested.
Miscellaneous
  • Maintains confidentiality regarding any open and pending HR issues, company investigations, or pending company actions.
  • Ensures all time sensitive and relevant functions are delegated while this position is out of office.
Qualifications And Skills
  • Undergraduate degree required. HR or Business major preferred.
  • Minimum of 2 years of experience in a related Facilities role.
  • Minimum of 2 years in HR.
  • 2 years of HR experience highly desirable.
  • Excellent interpersonal communication stills. Strong verbal and written communication skills. Ability to redirect employees’ conversations in a productive manner.
  • Must be professional and courteous.
  • Must be able to maintain confidentiality. Ability to professionally separate business from personal relationships in an office.
  • Proficient in Microsoft Office suite, Outlook preferred also.
  • Positive and proactive approach to people and the business.
  • Self-motivated and energetic individual with a strong work ethic.
  • Must have strong organizational skills.
  • Notary Public holder is preferred.

  • To ensure all supplies and services have been bid by multiple providers to ensure fiduciary responsibility of company assets.

WORK ENVIRONMENT A collaborative, open space work environment located on the first of the 40,000 sq. foot facility located in Broomfield, Colorado. The workspace is in the Lobby area facing north and looks at the main company staircase in the lobby. There is a large screen TV on the wall behind the desk as well as speakers in the lobby to produce calm music in our concept office. The Broomfield corporate facility houses a workout facility, multiple quiet telephone booths and a large employee breakroom for the employee’s use.
