Accounts Payable Specialist
The Accounts Payable Specialist is responsible for processing and managing vendor invoices, expense reimbursements, and related payments for a mid-size law firm. This role works closely with attorneys, legal assistants, and administrative staff to ensure accurate, timely, and compliant payment processing while maintaining confidentiality and supporting the firm’s financial operations. This position is direct hire and will pay between $45K and $60K annually.
Responsibilities
- Process high-volume vendor invoices, ensuring accuracy, proper approvals, and correct coding to general ledger accounts and matters
- Verify invoice details, resolve discrepancies, and communicate with vendors and internal staff regarding billing questions
- Manage weekly and monthly check runs, ACH payments, and wire transfers
- Maintain vendor records, including W-9s and updated payment information
- Review and process employee expense reports in compliance with firm policies
- Assist with month-end close activities related to accounts payable, including accruals and reconciliations
- Ensure compliance with firm policies, accounting standards, and applicable regulatory requirements
- Support audits by providing documentation and responding to inquiries
- Maintain organized and accurate accounts payable files and records
- Collaborate with accounting and finance team members on special projects and process improvements
Qualifications
- Associate degree in accounting, finance, or a related field preferred
- 2 years of accounts payable or general accounting experience, preferably in a professional services or law firm environment
- Knowledge of general ledger accounting and basic accounting principles
- Experience working with accounting or practice management systems
- Strong attention to detail with a high level of accuracy
- Ability to manage multiple priorities and meet deadlines in a fast-paced environment
- Strong communication and customer service skills
- Ability to handle sensitive and confidential information with discretion
- Proficiency in Microsoft Excel and other Microsoft Office applications
