Zaman Roofing is a busy, small growing business. We are seeking an experienced and highly organized Office Manager to join our team. As the Office Manager, you will be responsible for overseeing the day-to-day operations of our office, ensuring efficiency and productivity.
Essential Tasks:
Responsible for overseeing the day-to-day operations of our office, ensuring efficiency and productivity
Providing excellent customer service and resolving inquiries
Answer calls and return answering service lead
Enter lead data into our CRM
Schedule appointments
Bookkeeping and data entry
Prepare and process invoices
Identify and resolve any discrepancies between purchase orders and invoices
Maintain 1099 vendor files for accuracy: W-9s and ensure up to date Certificates of Insurance, email and mailing addresses for all Vendors.
Prepare and process vendor payments in a timely manner, ensuring that maximum discounts are taken
Track and ensure all Licenses and Registrations are renewed
Obtaining building permits
Keep clients informed via email, text, and phone throughout the project lifecycle
Register manufacturer warranties
Assist the owner in other admin-related tasks
Track and ensure that all Sub-Contractors have up to date Certificates of Insurance, Licensing and Sub-Contractor Agreements in place
Assist with budgeting and financial management, including expense tracking and reporting
Maintain office supplies inventory and place orders as needed
REQUIREMENTS:
Ability to work in a fast-paced, dynamic environment
Experience in office management or a similar role
Strong communication skills, both verbal and written
Strong organizational skills and attention to details
Advanced computer, Google Suite skills, Microsoft Office Suite
QuickBooks Online proficiency
Exceptional organizational skills with the ability to prioritize tasks effectively
Ability to work independently with minimal supervision
Energetic self-starter
Ability to multi-task
Second Language is a plus, Polish or Spanish
