Administrative Support Assistant
Position Overview
The Administrative Support Assistant is an essential member of the administrative support team. This team member must possess strong organizational and communication skills and the ability to respond well to change. We are a growing boutique firm, so our company atmosphere and employee fit is a priority. Helping create an inviting office environment for clients and all team members and ensuring the office runs effectively and efficiently, is of utmost importance. Experience working in a Financial Planning firm is preferred.
Responsibilities
Anticipate team member and client needs with a solution focus
Provide primary phone coverage, including backup support for other administrative assistants
Manage team calendars, agendas, and daily priorities
Schedule and coordinate office and team meetings
Scheduling appointments and ongoing contact with clients and prospective clients
Must be able to complete errands and order/ pick up supplies as needed
Clerical tasks include typing, filing, distributing mail, duplicating documents, maintaining office supplies
Requirements
High school diploma required; Associate degree or higher preferred
3 or more years of administrative support experience
Administrative support in public accounting, life insurance, or financial advisory preferred
Proficiency in MS Office suite and Google (Gmail, Calendar, & Drive)
Demonstrated ability to maintain confidentiality; good judgment and diplomacy
High level of professionalism with strong interpersonal, verbal, and written communication skills
Excellent time management, organizational, and multitasking skills
