Summary

The Benefits Administrator is responsible for assisting with the administration of all benefits and retirement programs, including but not limited to; medical, dental, vision, life insurance, short- and long-term disability and Company 401(k) plan, as well as additional oversight of maintaining the benefits software to ensure accuracy of all employee benefit enrollments. The Benefits Administrator will assist with answering employee enrollment and benefit related, assists with benefits renewal, manages insurance billing and maintains employee database and files. Additionally, this position will work closely with the Human Resources team and senior human resource management, including but not limited to recruitment, training and development, employee relations, performance management, leave and benefit administration, onboarding, policy implementation and compliance with regulatory requirements.

Education, Licensure and Experience

  • Bachelor’s degree preferred, with a minimum of three (3) years of human resource related experience OR Associate’s degree with a minimum of five (5) years of human resource experience 
  • Benefits administration or related experience and management experience is strongly preferred
  • Bilingual fluency in Spanish preferred, but not required

Qualifications

Essential Duties and Responsibilitiesinclude the following (Please note: This in no way states or implies that these are the only duties you will be required to perform. The omission of specific duties does not exclude them from the position. Other duties may be assigned as deemed necessary and appropriate.):

  1. Assist with Company employee benefit plan design including, but not limited to, health, flexible spending accounts, dental and vision, accident and disability, life insurance, 401(k), and wellness benefits.
  2. Responsible for administering various employee benefits programs, such as group health, flexible spending accounts, dental and vision, accident and disability, life insurance, 401(k), and wellness benefits.
    1. Conduct benefits orientations and explain benefits self-enrollment system.
    2. Maintain employee benefits filing systems and ensure benefits changes are entered appropriately in payroll system for payroll deduction. 
    3. Assist employees with health, dental, life and other related benefit claims. 
    4. Verify the calculation of the monthly premium statements for all group insurance policies and maintain statistical data relative to premiums, claims and costs. Resolve administrative problems with the carrier representatives. 
    5. Administer COBRA. 
    6. Prepare and set up meetings designed to help employees obtain information and understand company benefits and other related incentive programs. Ensure distribution of required employee notices.
    7. Obtain statistics and information in renewal process of any health, life and retirement plans that benefit the company.
    8. Responsible for benefits reporting requirements.
  3. Responsible for the completion and accuracy of all personnel files and assigned regulatory reporting and documentation in accordance with all state and federal laws and industry regulations including any/all mandatory reporting, I-9, OSHA logs, workers compensation and leave management and tracking. 
    1. Complete appropriate forms, inspections, reports, applications, and similar items documenting all entries accurately and completely. Complete applicable postings as needed.
    2. Keeps record of insurance coverage, 401(k) plan and personnel transactions such as hires, promotions, transfers, performance reviews and terminations. 
    3. Conducts audits as needed and/or directed.
    4. Prepare and maintain employee reports, new-hire, and absentee reports. 
    5. Responsible for maintenance and updates to company organizational charts, phone directories, policies and procedures, job descriptions and other reports as needed.
  1. Responsible for assisting with the preparation and administration of new and ongoing employee orientation and training in related area to facility personnel regarding department and company policies and procedures. 
    1. Assist with maintaining all facility employee orientation and training records per applicable state and federal law, industry regulations and company policy and procedures.
    2. Perform instructor led training for facility management and personnel for annual in-servicing and ongoing education as needed.
  2. Responsible for maintaining benefit software as needed.
  3. Responsible for maintaining benefit and employment information in HRIS.
  4. Responsible for ensuring all administrative support functions are undertaken efficiently and professionally, including but not limited to word-processing, answering telephones, filing, collection and distribution of mail, expense requests, and petty cash.
  5. Responsible for analyzing facility specific human resource related metrics including but not limited to retention, turnover, open FTE’s overtime, engagement, and employee satisfaction to identify trends and make/implement recommendations for improvement.
    1. Assists in evaluation of reports, decisions, and results of department in relation to established goals. Recommends new approaches, policies, and procedures to continually improve efficiency of the department and services performed. 
  1. As needed, assist with review and response of unemployment claims with appropriate documentation. Review monthly unemployment statements.
  2. As needed, assist with Family Medical Leave and general leave administration, workers' compensation renewal, reporting and claims process with third-party administrator. 
    1. Provide training to facility personnel as needed or requested.
    2. Ensure claims processing is followed at all times.
    3. Follow up on claims as needed or requested.
  1. Responsible for timely and accurate mandatory reporting preparation and submittal.
  2. Coordinate and participate in, supervise, and/or direct regularly scheduled meetings which may include but are not limited to such as QA, staff, Safety Committee, office meetings and other committee meetings as needed. 
  3. Perform all work assignments and/or work schedules thoroughly and in a timely manner as outlined in work assignments/work schedules and instructed by supervisor in accordance with established policies and procedures including but not limited to Safety, Infection Control, Bookkeeping/Administrative/Office, and Personnel. Report any concerns regarding standard of practice of other staff members immediately to their supervisor. Ask for clarification regarding policies and procedures as needed.
  4. Other duties as assigned.

Language Skills

Must be able to read, write, speak, and understand the language of the majority cultural group in order to communicate effectively. Must be able to hear enough to understand those individuals as well. Ability to read, interpret, and comprehend documents such as grafts/flow sheets, financials, general professional articles and publications, governmental regulations, safety rules, assignment sheets, and procedure manuals. Must be able to write reports, business correspondence, policies and procedures, and other administrative forms as outlined above.

Must be able to effectively communicate in both individual and group settings. Must be able to present information and respond to questions from individuals and/or groups including employees, managers, and the public.

Mathematical Skills

In order to perform duties, must be able to:

  1. Add, subtract, multiply, and divide all units of measure such as whole numbers, fractions, percentages, and fractions.
  2. Compute rate, discounts, ratios, and percent, and
  3. Make, read, and interpret financials, graphs, rates, ratios, and percentages.

Reasoning Ability

Ability to apply common sense and judgment in solving problems and interpreting and understanding instructions furnished in written or oral form. Must be able to make independent decisions when circumstances warrant such action yet reason when to involve supervisor.

Computer Skills

Basic computer knowledge with the ability to learn software.
