WhitbeckBennett is Hiring a Client Service Specialist Near Leesburg, VA

Whitbeck Bennett is seeking an experienced bilingual Client Service Specialist for our Leesburg or Herndon locations. The ideal candidate embodies professionalism, friendliness, and a welcoming demeanor. This critical role is essential for creating a positive first impression and managing various aspects of client relations within our firm. Responsibilities include answering and directing phone calls, taking detailed messages, screening cases with empathy, and scheduling potential clients for paid consultations. If you excel in a fast-paced environment and are dedicated to exceptional client service, we encourage you to apply.
Duties and responsibilities include, but are not limited to:
  • Maintain a calm and friendly phone demeanor
  • Promptly following up on leads
  • Provide a welcoming environment for all visitors to the firm
  • Receive new client phone calls, and contact forms.
  • Schedule consultations and other meetings
  • Complete questionnaires with prospective new clients in the case management system
  • Direct prospective new clients in sending in necessary paperwork to our office for review
  • Stay in communication with all prospective clients and assisting with gathering and submitting documentation
  • Following up with potential clients that have not sent in their paperwork to retrieve status
  • Reviewing and processing intake emails and notes
  • Prepare and send newly accepted clients an Initial Welcome Package
  • Respond to client/staff emails accordingly
  • Schedule tasks and workflow in client management software
  • Maintain reception and all conference rooms to ensure they are ready to receive clients and other visitors
  • Work collaboratively with Paralegals and Associate Attorneys
  • Work collaboratively with the Whitbeck Bennett Client Services Manager to process client information
  • Make trips to the bank as needed.
  • Other duties as assigned
The ideal candidate will have excellent oral and written communication skills, take pride in their appearance, and always wear a smile.
Experience: Customer service experience is a must!
Skills:
  • 2- 4 years working in a professional office setting
  • Able to effectively manage job responsibilities, balancing interests of clients and staff
  • Excellent interpersonal skills with strong ability to communicate effectively in both written and verbal format
  • Proficient computer skills, including Microsoft Office Suite (Word, PowerPoint, and Excel)
  • Understand and follow complex verbal and written instructions
  • Must be extremely comfortable speaking on the phone
  • Outgoing and comfortable working as part of a team
  • Excellent organizational skills
  • Capable of working in a fast paced and high-volume environment
  • Strong background in customer relations and/or sales
