OPPORTUNITY:

We are seeking a detail-oriented and reliable Office Coordinator to oversee the daily operation of the Dallas, TX office. The coordinator will be responsible for managing administrative tasks, ensuring the office is well-maintained, and supporting the needs of the team.

OTHER KEY RESPONSIBILITIES / DUTIES

The activities listed here are not all-inclusive; rather, they indicate the types of activities normally performed by this position. The successful candidate will be able to demonstrate competence in the following areas:

  • Help with office safety policies as needed i.e., COVID protocol, building fire safety, first aid, etc.
  • Create an energetic and welcoming first impression every day for employees & visitors.
  • Greet and assist incoming visitors.
  • Handle general office phone calls efficiently and professionally.
  • Assists HR in planning and rollout of special events such as benefits enrollment, organization-wide celebrations, and employee events.
  • Manage the conference room calendars.
  • Coordinate office luncheons/ catering orders as applicable.
  • Distribute incoming mail & packages (USPS, FedEx, UPS, etc.)
  • Assist with shipping out mail & packages (USPS, FedEx, UPS, etc.)
  • Ordering and management of office supplies for staff, printers, supply room/kitchens.
  • Maintain, organize & spot clean the front office and breakrooms as needed.
  • Administrative Contact for office supply vendors and manages all office contract agreements.
  • Troubleshoot office equipment, copiers, fax machines, phone systems, etc.
  • Submit building maintenance requests via ticketing system (Angus)
  • Validate parking tickets.
  • Assist with special events and functions including input in planning, researching event venue spaces, organizing invitation lists, and sending invitations.
  • Assist in travel arrangements for remote employees as needed for company events.
  • Facilitate and assist with the Westmount Foundation holiday investor gift process.
  • Performs additional duties as assigned.

Requirements

REQUIREMENTS/QUALIFICATIONS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

  • Minimum Education Requirements: High School Diploma required.
  • Minimum 3-5 years of professional work experience in a front office setting.
  • Strong ability to communicate both oral and written.· Excellent administrative and organizational skills. This position requires a high level of attention to detail.· Computer skills (MS Word, MS Excel, MS PowerPoint and Outlook)· Ability to work independently and manage multiple projects simultaneously, prioritize tasks and meet deadlines.
  • Pro-Active, energetic, and positive attitude.
  • Maintain workflow under pressure in a fast-paced work environment.
