Assistant Director, Admissions

The Assistant Director of Admissions is a member of Westminster University’s Enrollment Management Division and reports to the Director of Admissions. This position primarily works with undergraduate populations.
Enrollment Management is a collaborative team committed to providing and supporting services that attract, enroll, and retain students. The Enrollment Management division seeks to offer a student-centered, service-focused, and innovative enrollment experience that supports the university’s strategic priorities.
As part of these efforts, the Assistant Director of Admissions manages the daily visit program, serves as an admissions counselor for a small, local territory, and supervises the Campus Visit Specialist and admissions student employees. In addition to assuming the roles of an admissions counselor, this position organizes and executes undergraduate recruitment programs and initiatives to attract and enroll students to the University and will work directly with parents and families. This role supports student success by recruiting a dynamic and diverse student population. This position is designed for the employee to be on-campus, in-person with occasional remote work.


Responsibilities:

Manage Daily Visit Program

  • Manage group visit requests and work with campus partners to create unique experiences as it aligns with larger recruitment strategies.
  • Manage the daily information sessions (virtual and in-person), daily campus tours, Saturday office hours, and other enrollment events to ensure proper coverage and facilitation.
  • Collaborate with school deans and faculty in the facilitation of our classroom visits for daily visitors.
  • Use Slate CRM visit module to capture visitor data and work with the Campus Visit Specialist to shape the visit experience to reflect institutional values.
  • Lead the undergraduate admissions team on innovative and strategic engagement with students.

Develop Admissions Ambassador Program

  • Work with senior leadership to develop a robust student ambassador program to support the growing needs of the daily visit program.

Staff and Student Supervision

  • Oversee and coordinate the training of the admissions student fellows, student tour guides, and ambassadors.
  • Supervision and training of the Campus Visit Specialist, full-time staff member.
  • Conduct regular professional development and training opportunities, including regular scheduled check-ins, with staff and students as it aligns with the division policy on onboarding and professional development.

Enrollment Support

  • Serve as a primary point of contact to assist prospective students and families through the college search and application process.
  • Support the completion of admission and enrollment processes such as FAFSA, housing application, and registration through strategic communication efforts (via email, telephone, and other communication resources).
  • Establish and nurture relationships with high school counselors, CBO partners, and campus constituents as part of larger enrollment strategies and initiatives.
  • Articulate the value of a liberal arts education to diverse audiences through regular virtual and in-person presentations, one-on-one meetings, and other forms of communication.
  • Contribute to the enrollment mission, vision, and values through regular participation and occasional leadership in Enrollment Management Action Teams.
  • Review and evaluate applications for admission. Approximately 150 per year.
  • Serve as a liaison to specific departments and functional areas across campus. Liaison roles are assigned based on the needs of the office.
  • Other duties as assigned.

Additional Requirements:

  • Periodic overnight travel may be required.
  • Regular travel throughout the year and/or at specified times of the year will be required.
  • Extended hours, including evenings and weekends will be required.
  • Valid drivers license and successful DMV check required.
  • Ability to climb, balance, stoop, kneel, and crouch required.
  • Ability to regularly lift and/or move up to 25 pounds required.
  • Ability to lift and/or move up to 50 pounds required.

Qualifications

Required:

  • Baccalaureate degree and minimum of 2 years of admissions or enrollment management experience.
  • Ability to adapt to changes in work environment where the workload, speed, and type of work varies throughout the admissions cycle.
  • Commitment to providing a highly responsive and service-oriented admissions experience.
  • Exceptional writing, communication, and interpersonal skills.
  • Ability to work well with diverse populations in group and individual settings.
  • Ability to prioritize multiple tasks, demonstrate organizational skills, and meet deadlines.
  • Demonstrated organizational skills and ability to coordinate programs, projects, and volunteers with high level of autonomy.
  • Ability and willingness to accept constructive feedback in order to improve work performance.
  • Willingness to stay engaged and aware of national trends in higher education.
  • Desire to have fun in a professional team setting.

Preferred:

  • 5 years of admissions or enrollment management experience.
  • Education or professional experience in a liberal arts setting.
  • Experience with enrollment management CRMs, preference given to those with experience working in Slate.
  • Foreign language proficiency, especially fluent Spanish-speaking, is also preferred.
