The Sales Coordinator is responsible to make a compelling difference in the lives of our residents through providing excellence and innovation in aging services. The Sales Coordinator is responsible for supporting the marketing and sales process at WEL independent living and personal care communities. This individual must be able to assist the Sales Manager in the creation, management, and implementation of new lead generation programs at the communities, follow up activities with prospects including setting appointments and conducting tours as needed, the processing of required documents for resident move in’s, as well as assuring unit readiness. Significant interaction with prospective residents and family members for a wide variety of issues prior to move in, to assure a smooth move in process for new residents.

Essential Responsibilities:

  • Assist in the timely management of prospect database (Welcome Home) including prospect data entry and tour, deposit, and move in status updates.
  • Mail and email brochures to prospective residents & maintain supply of literature for use throughout the building & for mailings
  • Assist in creation, planning and implementation of community open houses, events, and senior club luncheons; follow up, gather data and compile feedback post event.
  • Assist in professional outreach tasks as directed by Sales Manager
  • Assist Sales Manager with prospect tours and lunches at open houses
  • Assist Sales Manager and conduct follow up calls to prospect database on a daily basis, with goal of setting appointments for Sales Manager
  • Per direction of Sales Manager, conduct 1:1 tours with goal of obtaining deposit
  • Implement community outreach follow up phone calls/emails as directed by Sales Manager
  • Prepare all new resident independent and personal care contracts including but not limited to working with Sales Manager to coordinate all aspects of pre move-in paperwork with physicians, families and facility staff, and follow up on all documentation to ensure completion and accuracy; preparing files and move in collateral.
  • Create occupancy memo after every agreement execution and distribute to community-specific email group
  • Work with community renovation team and maintenance staff to assure unit readiness and punch list items are completed
  • Coordinate all in house moves with residents, families, and moving/packing services.
  • Communicate all move in progress/updates to community staff
  • Verify details and organize actual physical move in for new resident with community staff; coordinate with hospitality committee to assure seamless transition for new resident
  • Maintain detailed and accurate records for all IL and PC residents: move-ins, outs, transfers, in-house moves, changes in level of care, etc.Perform other duties as required.

Qualifications

Related Experience: 

  • 2 years’ experience in a sales or marketing support role, with demonstration of progressively increasing responsibilities and growth.

Education or Degree Requirement:

  • Bachelor’s degree in business administration or marketing preferred 

Licenses, Certifications, Registrations:

  • Valid Driver’s License with current Car insurance

Required Skills:

  • Creative self-starter with outstanding time management and organizational skills
  • Outgoing and enthusiastic with desire to grow into direct selling responsibilities as part of career goal
  • Exemplary follow through and project management capabilities; attention to detail a must
  • Outstanding interpersonal skills; ability to communicate effectively and appropriately with seniors, their family members, peers and supervisors in a professional and courteous manner
  • Superior team work ethic and positive attitude
  • Intermediate level knowledge of Microsoft Word, Excel, Power Point
  • Ability to quickly learn new computer programs and software as needed.
