WellBe Senior Medical is Hiring a Mgr Medical Operations Near Chicago, IL

Job Summary

WellBe Senior Medical is an innovative, private equity backed healthcare company focused on providing the highest quality geriatric care (care of older adults) to frail, elderly Medicare Advantage patients with multiple chronic medical conditions. This population is typically underserved and very challenged with access to quality care. To address these problems, WellBe has elected to bring the care to the patient, instead of trying to bring the patient to the care. Care is provided throughout the entire continuum of care – from chronic care and urgent care in the home, to hospital, to skilled nursing facility, to assisted living, to palliative care, to end of life care. WellBe's physician-led geriatric care teams provide “concierge” level geriatric medical care and social support in the home as well as delivering and coordinating care across the entire continuum.

Job Description

Our Operations Manager is critical to the success of the entire market working together to care for the frailest elderly who have chronic and acute illnesses or injuries living in their homes. The Manager of Operations will have direct responsibility for the efficient and effective day to day management of the clinical and office operations processes. This position will have indirect accountability to the Community Medical Directors, Clinicians, and other Operations Personnel for market operational processes, and will share the goals and objectives of the market as a whole. The role will be accountable to hire, train, and implement existing protocols and processes, and precept staff until the market is functioning autonomously. This position requires extensive travel (up to 5 continuous days per stay at designated location).

Manager of Operations Job Responsibilities:

  • Practices the WellBe mission: To help our patients lead healthier, meaningful lives by delivering the most Complete Care.
  • Work with the team to provide a deep understanding of the WellBe culture and values.
  • Fosters a culture of best demonstrated practices, customer and peer service-orientation, measurement, performance, accountability, and continuous improvement.
  • Supports company operations by maintaining office systems and supporting management of the day-to-day operations of both the clinical and operational based staff.
  • Ensures proper growth of maturing markets while working collaboratively with the market launch team.
  • Maintains market services by organizing operations, including but not limited to scheduling, recordkeeping, filing and organizational systems, supply procurement and logistics, payroll and other timekeeping reports, and ongoing monitoring and reporting of performance metrics. 
  • Develops and implements a par level system for all supplies and monitors said par levels to ensure appropriate and efficient amounts of supplies are on hand for use by clinical and nonclinical staff. 
  • Creates and maintains needed reports for ongoing and continuous performance measurement and improvement, including reports from the electronic health record, the scheduling system, and other reports as appropriate.
  • Creates and maintains charts, graphs, and performance measurement boards with data reviewed and approved by the GM and/or CMD’s. 
  • Maintains office efficiency by planning and implementing office systems, layouts, and equipment procurement.
  • Designs and implements office policies by establishing standards and procedures, measuring results against standards, and making necessary adjustments.
  • Completes operational requirements by scheduling and assigning employees, orchestrating travel as needed.
  • Assist with recruiting, selecting, orienting, and training employees.
  • Tracks all expenses and prepares approval requests as required by the organization.
  • Coordinate internal resources and third parties/vendors for the flawless execution of projects.
  • Assist in the definition of project scope and objectives, involving all relevant stakeholders and ensuring technical feasibility.
  • Develop a detailed project plan to monitor and track progress
  • Meet with clients to take detailed ordering briefs and clarify specific requirements of each project.
  • Use and continually develop leadership skills
  • Contributes to team effort by accomplishing related results as needed.

Job Requirements

Qualifications:

Educational/Experience Requirements:

  • BA or BS Degree Required. (Master’s Degree preferred.)
  • 6 years of management experience
  • 6 years of operational experience. (Healthcare Required.)
  • Proficiency with office software including Electronic Health Record, Scheduling Software, and Communications platforms (Ringcentral, Microsoft Teams, Slack, etc.). 
  • Proficiency in Microsoft Office Suite.

Travel requirements Up to 50-75% travel in the US.

Work Conditions: Ability to lift up to 20lbs. Moving lifting or transferring of patients may involve lifting of up to 50lbs as well as assist with weights of more than 100lbs. Ability to stand for extended periods.

Ability to drive to patient locations (ie. home, hospital, SNF, etc). Fine motor skills/Visual acuity
