Accounts Payable Clerk

Terms of Employment
Full time position – 260 days (depending on start date) 40 hours per week. Pay per Classified Salary Schedule – Category VI ($18.88-$28.81). This position qualifies for benefits. The District provides its employees with a comprehensive benefits program including medical, life, and dental insurance. The District provides three medical plans for which it pays the full premium for employees, and a fourth option is a buy-up plan for which the district pays the majority of the premium. In addition, the District pays the full employee premium for dental insurance and life insurance. The District contributes to PERA on each employee's behalf and offers additional retirement savings options as well as optional supplemental insurance. Employees also receive paid time off. Worker’s compensation and unemployment insurance are provided in accordance with State law. This position qualifies for paid leave: 4 annual leave days and 7 sick leave days (depending on start date). Annual evaluation performed by Chief Financial Officer.

Position Purpose
Under the direct supervision of the Chief Financial Officer, to assist in the administration of the school district's Accounts Payable function, ensuring the accuracy of invoices to be paid and the timely payment of school district expenses, maintaining accurate account balances in conformance with school district policies and practices as well as applicable laws and regulations.

Essential Job Functions
  • Assists in administering the school district's Accounts Payable function, including the processing of purchase orders and invoices for payment and inputting and maintaining data into the accounting system regarding accounts payable to ensure records are accurate and up to date.
  • Provides excellent service for school district administrators, principals, secretaries, other district colleagues, vendors, and the public to answer accounts payable questions and resolve issues.
  • Thrives working in a team environment and is willing to ask for help when needed and provide help when requested.
  • Research discrepancies regarding the accuracy of invoice amounts and other accounts payable functions for the purpose of ensuring accuracy and implementing corrective measures when needed.
  • Assists in inputting and maintaining all data into the accounting system regarding accounts payable.
  • Reconciles accounts payable invoice batches and processes payment checks or electronic payments as directed.
  • Develops reporting procedures and internal controls for timely and accurate completion of reporting and record-keeping requirements.
  • Maintains accounts payable records for accurate and up-to-date filing and recordkeeping.
  • Composes correspondence as needed for the purpose of documenting activities, providing written reference and/or conveying information regarding accounts payable issues, balances, etc.
Additional Duties
  • Primarily responsible for greeting community members, vendors, and others who visit the district administration building.
  • Other duties as assigned.
Confidential Information
  • Staff members shall not access, receive, transmit or retransmit material regarding students, parents/guardians or district employees that is protected by confidentiality laws.
  • If material is not legally protected but is of a confidential or sensitive nature, great care shall be taken to ensure that only those with a “need to know” are allowed access to the material.
  • Staff members shall handle all employee, student, and district records in accordance with applicable district policies.
  • Staff members who intentionally disclose student records, other confidential student information and/or district information may be subject to disciplinary action, up to and including termination.
Equipment
  • Uses standard office equipment such as personal computer, 10-key, copy machine, fax machine, and telephone.
Travel Requirements
  • Travels to school district buildings as required.
Knowledge, Skills, and Abilities
  • Knowledge of accounting and bookkeeping principles.
  • Organizational and time management skills.
  • Ability to report work orally or in writing to supervisor as required.
  • Ability to carry out instructions furnished in written or oral form.
  • Ability to add, subtract, multiply, and divide, performs complex arithmetic operations and use calculators.
  • Ability to understand, apply and use personal computers and software applications (e.g., Word, Excel).
  • Ability to problem-solve job-related issues.
  • Ability to process paperwork accurately according to standardized procedures.
  • Ability to maintain confidentiality of information regarding school district financial and other information.
Physical and Mental Demands, Work Hazards
  • Works in standard office and school building and athletic environments
  • Ability to work outdoors during outdoor student activities
Qualification Profile
Any combination of education and experience providing the required skill and knowledge for successful performance would be qualifying. Typical qualifications would be equivalent to:
  • Associates or Bachelor's Degree in Accounting or related field, with course work in business, math, accounting, bookkeeping, and record keeping.
  • Some successful bookkeeping or accounting experience preferred.
  • Some successful school district secretarial or bookkeeping experience preferred.
