POSITION SUMMARY
Serves Local Outreach/CityLink by administratively coordinating direct ministry and program activities, attending planning meetings, organizing events, plus provides a wide variety of administrative support for the Associate Pastor/Sn. Director over the area. Serves on the front line of the program and directly interfaces and supports Local Outreach/CityLink program participants.
PRINCIPAL DUTIES AND RESPONSIBILITIES
Brief description of duties in order of priority
Provide administrative coordination for Local Outreach/CityLink. In this role manages schedules, plans meetings and coordinates all logistical needs for weekly and monthly activities and special events including ordering supplies, food, rental spaces etc., for both ministry and program needs. Gather all statistical reports, compile and generate monthly reports for CL Leadership Team, grants and community agencies summarizing outreach achievements. Coordinate material ordering, production and tracks progress of such. Works with CL Leadership Team to ensure custodial task list/routine repair work orders are submitted and completed. Assists Sr. Director and Director in collecting and organizing receipts and supporting documentation for expense reports. Maintain accurate records of transactions, expenses, and other relevant information. Generate reports and summaries based on collected data as needed. Enter and update data in databases, spreadsheets, and other software systems such as Fellowship One, Leadr, etc.
Develop and distribute outreach materials, including flyers, brochures, and social media content.
Manage social media accounts and online platforms including CityLink webpage to promote outreach activities and engage with the community. Respond to inquiries from community members and partners, in a timely and professional manner.
Answer email and phones, maintain calendar, maintain filing systems, coordinate material/supply ordering and production and maintain department’s database. May prepare material for programs using a variety of methods, including but not limited to social media tools, Word, PowerPoint, Excel and Publisher.
As an Administrative Coordinator, coordinate a single ministry function or team of volunteers or interns. May have some assignment for making sure staff or a team of people completes assignments, does not have the responsibility of completing performance reviews.
Serve as liaison with other WOLCC departments and programs, communicating program’s needs, requesting assistance with scheduling and logistics, providing information to other departments, coordinating calendars. Other duties as assigned.
Participate in “All-In” events, Prayer Mountain, Spiritual Growth Check List, etc.
