About the Division:
The mission of the WSP Toxicology Laboratory Division (TLD) is to provide high quality, innovative, and comprehensive toxicology services in support of public health and safety in our community.

Duties

About the Position:
The Toxicology Laboratory Division (TLD) Administrative Assistant 4 (AA4) is the principle assistant providing administrative support to the Toxicology Laboratory Division Commander and the TLD Leadership Team. The position is responsible for the oversight of administrative operations within the Division and ensures consistency with agency policy, procedure and Division standard operating procedures.
Our new teammate will be able to:

  • Make decisions for the Division Commander on administrative matters.
  • Facilitate work on behalf of the Division Commander.
  • Have Signature authority in absence of Division Commander.
  • Speak on behalf of the Division Commander at meetings, conferences, etc. on administrative policy matters. Updates policies regarding procedures for administrative matters.
  • Prepare briefing materials, reports, and other supporting materials to be used by the Division Commander.
  • Develop and maintain the Division Commander's confidential administrative files.
  • Act as liaison between Division Commander and internal, and external, stakeholders.
  • Serve as a primary point of contact on behalf of the Division Commander.
  • Direct and/or coordinate special projects.
  • Participate in strategic and quality planning process.
  • Research federal and state regulations on behalf of the Division Commander as they pertain to their scope of responsibility.
  • Develop budget estimates, monitors, and controls budgets from a variety of sources.
  • Compiles data and prepares complex grant/budget proposals for new, continuation, and competitive renewals on grants and contracts.
  • Coordinate and make travel arrangements, such as but not limited to, hotel and flight arrangements and maintain all necessary supporting documentation.
  • Process employee confidential records.
  • Coordinate and facilitate the on-boarding and off-boarding of staff.
NOTE: This is not a full-time telework position. Candidates must be able and willing to work in the office. A hybrid work schedule can be discussed upon completion of the required training period.

Qualifications

Required Qualifications:

  • High School diploma or GED equivalent.
  • Four (4) years of progressively responsible experience in office/clerical, secretarial, or general administrative work.
  • An Associate’s degree in Business Administration or related field may substitute for two years of the required experience.
