Please Note: Expected work hours are 8:00 a.m. to 4:30 p.m., Monday through Friday. Occasional evening and weekend work may be required. Incumbent may be required to work overtime shifts and travel to and from medical appointments and/or attend recreational activities for residents.
  • This position has been posted within the assigned pay range through Step L. Step M has not been published as this is considered the longevity step, in alignment with state HR compensation rules.
  • Position(s) at this location will also receive 5% Premium Pay for 24/7 facilities. Employees must physically work at the facility 3 days per workweek to qualify. The 5% Premium Pay is in effect until June 29th, 2025.

These locations provide Medicare and Medicaid nursing home care to honorably discharged Veterans, including, in some instances, their spouses, widows, or Gold Star Families.
As an Office Assistant 3, you will work as a frontline representative of our Spokane Veterans Home to internal and external stakeholders and assure a positive image of the care we provide our residents by communicating professionally with outside agencies, physicians' offices, resident family members, and other healthcare facilities. You will also interact regularly with internal counterparts, coworkers, and other departments to coordinate treatment options, referral appointments, and other required activities.

Duties

Some of what you will be doing includes:

  • Using and maintaining Outlook Calendar schedule an arranging transportation for all Resident Specialty Care appointments.
  • Posting daily calendar of resident appointments and communicating with family members on scheduled appointments.
  • Preparing resident referrals for physician and consultants.
  • Printing and delivering appointment reminders to residents.
  • Assisting with scheduling appointments from new orders, relaying messages, and faxing documents to consulting providers as requested.
  • Completing the Verification of Funding Assessment for each outside medical/dental appointment.
  • Ensuring outside facilities have appropriate information regarding billing and authorizations pertinent to the scheduled appointment.
  • Updating and maintaining resident appointment tracker sheet.
  • Preparing and maintaining medical charts per facility and department procedures.
  • Performing medical record maintenance, including entering physician orders into PCC.
  • Placing physician orders, Medication Administration Record, and Treatment Administration Record in next month binder at the end of each month on day of printing for nursing recapitulation.
  • Requesting medical record from outside facilities as requested.
  • Conducting medical record maintenance.
  • Requesting signed medical records from outside facilities.

Qualifications

Required:

  • High school diploma or GED.
  • Valid state driver's license.
  • Experience with multiple phones, copier, and fax machine.
  • Microsoft Office proficiency.
Preferred/Desired:
  • Prior medical records/health information experience.
  • Working knowledge of medical terminology.
  • Medical filing experience.
  • Basic ICD-9-CM coding experience.
  • HIPAA legislation and regulation knowledge.

Other Information:

  • Must be able to pass a DSHS BCCU Background Check prior to beginning services and every two (2) years in accordance with WDVA Policy 615.000 Background Checks. Information from the background check will not necessarily preclude employment but will be considered in determining the applicant's suitability and competence to perform in the position.
  • Must comply with annual Tuberculin Screening in accordance with DVA policy 670.000 Tuberculosis Testing.
  • Requires medical evaluation, fit testing, training, and use of respiratory protection as required by the Washington Industrial Safety and Act standards. Must be able to wear a respirator, medical gloves, gowns, eye protection, and other personal protection as required by a job or task.
  • Positions requiring travel must have a valid unrestricted driver's license and must be insured if driving a privately owned vehicle on state business.
  • Candidates who are offered a job with WDVA must possess work authorization which does not require sponsorship by the employer for a visa now or in the future.
