The Walla Walla Veterans Home is hiring for a detail-oriented Administrative Assistant 5 with excellent interpersonal tact and preferred administrative experience in a health services environment. Please Note: Expected work hours are 8:00 a.m. to 4:30 p.m., Monday through Friday. Schedule may be flexible at times to meet program needs, specifically related to safety for residents and staff. Occasional in-state travel may be required to attend meetings, conferences, and other required events.
  • This position has been posted within the assigned pay range through Step L. Step M has not been published as this is considered the longevity step, in alignment with state HR compensation rules.
  • Position(s) at this location will also receive 5% Premium Pay for 24/7 facilities. Employees must physically work at the facility 3 days per workweek to qualify. The 5% Premium Pay is in effect until June 29th, 2025.

In addition, we provide critical community services through a variety of programs, and at our four State Veterans Homes located in Orting, Port Orchard, Spokane, and Walla Walla. These locations provide Medicare and Medicaid nursing home care to honorably discharged Veterans, including, in some instances, their spouses, widows, or Gold Star Families.
As the Administrative Assistant 5, you will serve as the principal administrative assistant to the Walla Walla Veterans Home Administrator and liaise with staff to transmit assignments and acquire information as requested by the Administrator. You will also manage the administration office and supervise customer service and financial and business programs while supervising a full-time Fiscal Analyst 1.

Duties

Some of what you will be doing includes:

  • Preparing and reviewing correspondence and reports.
  • Exercising signature authority with Administrator approval and oversight.
  • Representing the Administrator at meetings and conferences and speaking on her behalf on Agency matters upon request.
  • Scheduling, coordinating, and arranging meetings and appointments and travel for the Administrator.
  • Managing the Administrator's calendar.
  • Coordinating the Administrator's attendance at meetings and civic functions, legislative events, and Veteran events.
  • Planning and arranging for in-state and out-of-state conferences for the Administrator.
  • Monitoring compliance with state regulations.
  • Providing public relations and general information to internal and external customers.
  • Responding to inquiries regarding the operation of the agency, investigating complaints or problems, and liaising between other government agencies.
  • Working with the Administrator in the preparation and processing of DSHS Medicaid Survey and Federal Survey Plans of Correction, Contracts, Resident Satisfaction Surveys, and other surveys or reports.
  • Remaining up-to-date on new legislation and regulations.
  • Leading the development, implementation, and review of policies and procedures at the facility.
  • Supervising the assigned Fiscal Analyst 1.
  • Serving as the timekeeper/payroll point of contact for direct reports.

Qualifications

Required:

  • One (1) year as an Administrative Assistant 4.
OR
  • Two (2) years as an Administrative Assistant 3.
OR
  • A bachelor's degree* in business administration, public administration, or closely allied field, AND three years of administrative or supervisory experience.
  • Please Note: Additional qualifying experience may substitute for education on a year-for-year basis. Graduate study may substitute for up to two (2) years of experience on a year-for-year basis.
Preferred/Desired:
  • One (1) year of experience in Washington State service in a health services environment.

Other Information:

  • Must be able to pass a DSHS BCCU Background Check prior to beginning services and every two (2) years in accordance with WDVA Policy 615.000 Background Checks. Information from the background check will not necessarily preclude employment but will be considered in determining the applicant's suitability and competence to perform in the position.
  • Must comply with annual Tuberculin Screening in accordance with DVA policy 670.000 Tuberculosis Testing.
  • Requires medical evaluation, fit testing, training, and use of respiratory protection as required by the Washington Industrial Safety and Act standards. Must be able to wear a respirator, medical gloves, gowns, eye protection, and other personal protection as required by a job or task.
  • Must be able to walk, sit, and bend in an unrestricted manner on a consistent basis during the entire workday.
  • Must be able to read and understand written instructions, directions, and procedures in English.
  • Positions requiring travel must have a valid unrestricted driver's license and must be insured if driving a privately owned vehicle on state business.
