Washington State Department of Ecology is Hiring an Office assistant Near Lacey, WA

The Water Quality Program within the Department of Ecology is looking to fill an Office Assistant 3 position. This position is locatedin our Headquarters Office inUpon hire, you must live within a commutable distance from the duty station.

Join our dynamic team! In this role, you will provide essential support to the Water Quality Program through a variety of clerical tasks and assist with records management to ensure compliance with State records management regulations.

You will handle a range of administrative duties, from scanning and sorting documents to managing inventory storage.

As you work independently, you'll have ample opportunities to seek guidance when needed, fostering both autonomy and collaboration.

By performing tasks such as scanning, filing, and ensuring document completeness, you'll not only contribute to the efficiency of our operations but also gain experience in records management and administration.

Program Mission : The mission of the Water Quality Program is to ensure that all aquatic life and communities in the watershed experience cool, clean water to refresh and sustain us in a changing climate.

Please Note : This is a temporary position that will end after one year.

Schedule : This position is required to work in the office 5 days per week and is not eligible for a tele-work schedule.

Duties

What makes this role unique?

In this role, you will provide crucial support to the Water Quality Program by performing entry-level administrative tasks, including scanning, sorting, filing, and managing inventory storage.

You will demonstrate an on-going commitment to learning and self-improvement by participating in program training opportunities, and you will work independently, seeking advice and supervision as needed.

What you will do :

  • Scan, upload, sort, and file documents into electronic systems.
  • Review paper and electronic files for completeness.
  • Ensure records are organized and accessible for staff and managers.
  • Manage records efficiently to reduce resource usage.
  • Communicate promptly via email, especially regarding task delegation.
  • Assist with file maintenance and preparation for archiving purposes.

Qualifications

Required Qualifications :

Years of required experience indicated below are full-time equivalent years. Full-time equivalent experience means that any experience where working hours were less than 40 hours per week will be prorated in order to meet the equivalency of full-time.

We would calculate this by looking at the total hours worked per week, divide this by 40, and then multiply by the total number of months worked.

Examples of the proration calculations are :

  • 30 hours worked per week for 20 months : (30 / 40) x 20 months 15 months full-time equivalent
  • 20 hours worked per week for 12 months : (20 / 40) x 12 months 6 months full-time equivalent

Experience for both required and desired qualifications can be gained through various combinations of formal professional employment, education, and volunteer experience.
