Primary Responsibilities:
· Execute accurate and timely submittal of hourly payroll data on a weekly basis. Prepare and distribute payroll reports, and respond to leadership requests for payroll-related information.
· Prepare invoices for processing including Purchase Order (PO) matching, invoice coding, and data entry to company system(s).
· Collect and compile information for vendor setup and forward to corporate Accounting team.
· Maintain contract/lease start and end dates and review insurance compliance reports.
· Issue company field checks based on financial guidelines; provide backup to petty cash and check deposits.
· Manage general office accounts, such as vending, water, cleaning, as assigned.
· Maintain accurate, complete, and confidential records and files, ensuring compliance with all policies and procedures as well state and federal regulations.
· Assist with candidate screening and interviewing, and maintain accurate and current candidate records in Company systems, in support of a timely, effective, and compliant recruiting process for hourly plant employees.
· Schedule and facilitate new employee orientations, and process all necessary paperwork through payroll and benefits department, including I-9s and onboarding documents.
· Provide timely and professional front line support to hourly plant employees regarding Human Resources administrative functions including but not limited to employee questions and requests, communication of policies, leave of absence administration, benefits open enrollment, policy signoffs, and pay statements. Coordinate with appropriate Human Resources and/or Workforce Development contacts to support timely and accurate solutions.
· Research, create, and distribute a monthly plant newsletter.
· Support employee administration including employee awards, lunches, company picnic, as well as maintaining current information on employee bulletin boards.
· Execute general office administrative tasks including sending and distributing mail, ordering supplies; provide administrative support to other departments as needed.
Qualifications:
· Bachelor’s degree preferred.
· 2 years of administrative/accounts payable experience.
· 1 year of HR experience preferred.
· High level of attention to detail and focus on confidentiality.
· Strong interpersonal and communication skills.
· Must possess strong organizational, planning and time management skills.
· Reliability and initiative to be able to work effectively in a fast paced, professional team environment.
· Results driven with the ability to adapt to changing priorities.
· Willingness to learn new things and cross train in other departments.
· Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
