Overview of Role

Reporting to the Manager of Donor Relations & Development Operations, the Donor Relations Coordinator will work intra-departmentally to support the cultivation, stewardship, and recognition of individual and institutional donors and to provide support and assistance with solicitation and acknowledgment processes. This position is a crucial part of the development team in order to ensure that all donors receive thoughtful interactions with the museum, ensuring continued engagement and increased giving.

PRIMARY RESPONSIBILITIES

Cultivation, Stewardship, and Recognition of Donors

  • Under the direction of the Manager of Donor Relations & Development Operations, lead the cultivation and stewardship efforts for all donors under $1,000.
  • Work closely with the Manager of Donor Relations & Development Operations and Development Database Associate on processes for the timely preparation of renewal and solicitation letters, both in-house and mailhouse batches, including producing necessary mailing lists from Altru. Adhere to standards of excellence and follow Standard Operating Procedures when pulling lists to ensure data accuracy.
  • Assemble and mail renewal materials for all gifts not sent via mail house.
  • With the Manager of Donor Relations & Development Operations, coordinate the preparation, printing, and mailing of lapsed mailings and special appeals.
  • Assist with preparing and overseeing stewardship touches throughout a donor’s annual giving cycle, including program/event invitations, emails, mailings, etc.
  • Maintain donor data record integrity by tracking all donor relations activities, documents, etc.

Donor Relations

  • Coordinate process for donor communications and recognition around birthdays, notable life events, etc. for both individual and institutional donors.
  • In partnership with the Grants and Development Coordinator, ensure timely mailing of donor stewardship reports.
  • Work with the Manager of Donor Relations & Development Operations on appropriate donor messaging in advance of public programs and museum events; represent the Development Team at museum events, as needed.
  • Assist with inventory and availability of museum department giveaways; including acting as liaison for the Director's office to replenish supplies.
  • Assist with intentional stewardship of new donors and program/event attendees.
  • Answer the Donor Hotline and Giving email account in order to respond to questions and inquiries; ensure prompt resolution of donor questions or complaints.
  • All other duties assigned.

Administrative Support to the Development Department

  • Assist with printing and organizing materials for the Gala and other Development events, as needed.
  • Provide primary backup for gift processing.
  • Maintain department inventory of office supplies, mailing materials, giveaways, Magazines, exhibition catalogs, etc.
  • Assist with maintaining up-to-date Standard Operating Procedures (SOP) documents for routine processes.
  • Assist with updating annual (and as-needed) coding of key stakeholder groups such as Trustees, Committee Members, etc.
  • Partner with Development team members to help manage team workflow.
  • Provide administrative support to Development team as needed.

Qualifications


Required Skills and Experience

  • High School diploma or GED equivalent.
  • One to three years of related development experience; knowledge of annual fund processes and donor relations preferred.
  • Experience with Constituent Management System or donor database (such as Raiser's Edge or Altru).
  • Demonstrated commitment to confidentiality regarding WAM processes and donor information.
  • Proficiency in Microsoft Office Suite, particularly Microsoft Word and Excel, and Google Suite.
  • Must have demonstrated organizational skills, attention to details, and be able to handle multiple tasks and priorities simultaneously without losing productivity or attention to detail.
  • Ability to work independently and as part of a team with demonstrated interpersonal skills.
  • Demonstrated written and verbal communications skills.

Schedule: Regular work week is Monday to Friday. Able to work evenings and weekends as needed.

Pay Rate: $19.68/hour - $24.49 based upon experience.

The Walters Art Museum provides an excellent comprehensive benefits package that includes medical, dental, prescription, vision, subsidized transportation and parking, museum membership, short-term disability, FSA (flexible spending account), 457b retirement, and free professional financial management counseling.

All employees must be legally authorized to work in the United States. The museum does not sponsor work visas.

The position is classified as Non-Exempt Status (eligible for overtime pay) and is in a bargaining unit represented by a union.
